Job Summary:

The Contract Specialist is responsible for monitoring the overall contract review process and associated workflows related to the review of business and service contracts for the University of Texas at Tyler and Health Science Center in accordance with State statutes, UT Tyler policies, and established University of Texas System guidelines.

 

The position assists in the preparation and submission of contractual agreements and is responsible for assisting in preparing, submitting, and managing contractual agreements. The Contract Specialist assists supervisor, other leaders, and departmental staff in preparing and submitting contractual agreements. The position is responsible for verifying contract data and regularly interacts with staff on contractual inquiries and contract performance.

 

Major Responsibilities / Duties / Critical Tasks:

 

·       Manage daily operations of the University business contracts process.

·       Log, route, and file a high volume of paper and electronic contract files into Symplr (UTT's Contract Administration System).

·       Manage the organization and maintenance of all records related to business contract files, including electronic database.

·       Process and route contracts to the proper reviewers and approvers, including template-based agreements.

·       Maintain office email account (responding to inquiries, downloading contracts, and distributing processed contracts to appropriate parties); uploading contracts to database and updating entries as needed.

·       Provide administrative support in a fast-paced environment; corresponding verbally and electronically with various departments, including Purchasing, HUB, Accounts Payable, Legal Affairs, and The University of Texas System; and preparing various correspondence and reports as needed.

·       Consult with the institution's Office of Legal Affairs regarding legal contract questions.

·       Work with purchasing, HUB, and accounts payable on all tasks regarding contracts or purchase orders for goods and services that are obtained, as well as goods and services that are provided.

·       Work with internal customers and the Office of Legal Affairs to facilitate decisions about and reviews, as needed, contract addendums, amendments, extensions, termination, and similar contract-related writings.

·       Handle each agreement timely, with consistent follow-up and updates to internal customers.

·       Complete other duties as assigned.

Qualifications

 

Required Education / Experience:

·       Bachelor's Degree in business administration, computer science, or related field.

·       Five (5) years of experience in a combination of data analysis, contracting, or procurement, preferably in a university or state government setting.

·       May accept an equivalent combination of education, training, and experience in the relevant field.

 

Required license/certification:

Texas Class C, Driver's License - State of Texas
