Job Description:
Under the supervision of the Senior Director, Strategic Procurement and Auxiliary Services, the Contract and Insurance Administrator supports all aspects of Strategic Procurement and Auxiliary Services operations with specific responsibilities related to the contract administration process, website content creation, insurance renewals, financial transactions, and both issuing and tracking certificates of insurance for the College.ESSENTIAL FUNCTIONS/PRIMARY DUTIES AND RESPONSIBILITIES:
Facilitate the contract process following college policy, ensuring stewardship of the college’s financial assets.
Communicate status and updates of submitted contracts to departments.
Summarize details to authorized signers so they can execute contracts expeditiously.
Work with Procurement to verify existing contractual agreements and business terms.
Collaborate and maintain a customer service focus while working with departments throughout the college including General Counsel, Information Technology, Risk Management, Strategic Procurement & Auxiliary Services, Human Resources, and Accounts Payable.
Act as point person for communications between the school and Strategic Procurement and Auxiliary Services.
Responsible for the annual insurance renewal process for Berklee College of Music, including Berklee Valencia, Berklee NYC, The Boston Conservatory at Berklee, and other related entities.
Work with insurance brokers, underwriters, and internal staff to ensure that all information is correct and up to date across all lines of insurance.
Manage college Certificates of Insurance program, issuing certificates and tracking certificates issued to Berklee.
Act as point of contact regarding any Berklee related incident that could and/or does result in an insurance claim. Work with insurance adjusters, providers and other services as needed to ensure speedy and effective resolution.
Respond to inquiries from faculty, students and staff regarding insurance related matters; specifically travel related information and insurance certificates.
Maintain and distribute international travel policy information for all college international travelers.
Maintain webpages with up to date information on services provided and relevant departmental policies and procedures.
Manage and process all insurance invoices, ensuring prompt payment and correct allocation of costs.
Perform Other Duties as Assigned.
MINIMUM JOB QUALIFICATIONS:
5 years of full-time experience.
Bachelor’s Degree in Business Administration, Acquisition and Contract Management, or related field of study. Work experience may be counted towards Degree.
KNOWLEDGE REQUIRED:
Working knowledge of general practices, program, and/or administrative specialty and working knowledge of operational analysis and techniques.
Ability and specialized skills to expertly investigate and analyze problems with a broad administrative impact and implications.
Ability to oversee and/or train others and provide lead work direction; interpret, and apply a wide variety of policies and procedures to develop conclusions and make recommendations.
Ability to compile, write and present reports related to program or administrative specialty; and communicate clearly and effectively both orally and in writing.
SKILLS AND ABILITIES REQUIRED:
Self-directed with a strong customer service orientation.
Excellent attention to detail and ability to successfully manage multiple priorities and meet deadlines
Impeccable communication skills, both written and verbal
Strong interpersonal skills and team player
Ability to work well under limited supervision
Analytical abilities and an aptitude in problem-solving
Higher Education experience preferred
Experience with Apple Computers, Microsoft Word, Excel, and PowerPoint
Familiarity with Contract Management Software, Freshdesk, Workday, Google Drive, and Google Mail a plus
