ORGANIZATIONAL SUMMARY:
USF's Office of Administrative Services (OAS) is made up of the dedicated people who keep our campus, the equivalent of a medium-sized city, moving forward. This team delivers essential services across USF's multiple campuses and locations that together total 11 sites, 1,646 acres, 350 buildings, and 12.8 million gross square feet. With responsibilities that include land use and planning, construction and development, maintenance and utilities, custodial and grounds services, parking and the Bull Runner bus system, environmental health and safety, university police, and emergency management; the OAS team has a wide-reaching impact that touches nearly every aspect of the University of South Florida community in support of the university's mission and strategic plan.

On USF's Tampa campus, the OAS team performs a broad scope of services that includes processing and completing over 45,000 work orders annually, providing custodial and maintenance services for 83 buildings totaling 4.5 million square feet, managing over 350 construction and renovation projects each year, providing utilities services for 350 buildings totaling 12.8 million square feet, maintaining 20,500 parking spaces across 93 surface lots and 4 garages, operation and maintenance of a fleet of 26 buses, and performing grounds care of 500 acres of space.

The Design and Construction Department is responsible for in-house design and engineering services, major and minor construction and engineering project management, and project reporting.
POSITION SUMMARY:
The role of a Project Coordinator is integral to the success of the project team. Reporting to a Director or Assistant Director, this position ensures that projects within the Design and Construction portfolios run smoothly from start to finish by supporting planning and execution. The Project Coordinator will actively support projects of various types, including renovations, infrastructure improvements, equipment installation, capital renewal, and program enhancements for our client.  These projects run the gamut from swift but impactful "quick-hit" endeavors to more lengthy and complex strategic initiatives. This is a dynamic role with an emphasis on building client relationships and delivering excellent customer service.
RESPONSIBILITIES:
Project Communication - Provides daily communication to Project Manager on project status and open items. Drafts detailed status reports for Project Manager and clients. Fosters clear and prompt communication to clients and stakeholders.
Site Coordination - Conducts routine site inspections and provides general on-site coordination with consultants, contractors, and campus partners. Ensures work aligns with approved plans, workmanship standards, and other University requirements. Consults with contractors regarding field modifications during the construction phase and recommends course of action to Project Manager.
Project Administration - Prepares purchase order and change order request documentation for procurement.  Assists Project Manager with developing and tracking schedules, budgets, and meetings.  Prepares meeting minutes, agendas, and presentations.
Interdepartmental Support - Collaborates with other members of Planning, Design & Construction to solicit feedback and secure necessary approvals. Coordinates project impacts with other administrative partners including Facilities Operations, Environmental Health & Safety, Parking & Transportation, and Information Technology.
Miscellaneous - Including but not limited to: assists with vendor selection processes, emergency management events, project request intake, vetting, feasibility, initiation, closeout, and warranty support as well as other leadership initiatives as assigned.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This entry level position requires a combination of six years of related experience and education/training, exhibiting the capability of managing routine to moderately complex projects for a variety of customers. Some positions may require industry certification.  LEED GA certification required within 12 months of start date.
PREFERRED :
Bachelor's degree in engineering, architecture, construction management, business administration, or other related field and 3 years of related experience.
SPECIAL SKILLS/TRAINING:
Construction and Project Management: Working knowledge of construction processes, project management methodologies, and best practices in the commercial construction industry.
Design and Architecture: Familiarity with architectural and design principles to effectively collaborate with architects, engineers, and designers.
Technology and Software: Familiar with Bluebeam, Microsoft Project, MS Office suite, project management software.
Communication: Excellent communication skills for effectively liaising with stakeholders, team members, and external partners.
Attention to Detail: A keen eye for detail to ensure that construction and design meet high-quality standards and specifications.
