Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $67,800. - $122,800.  The budgeted salary range that the University reasonably expects to pay for this position is $68,600. - $85,700.

About the Job

UC Merced has enjoyed rapid growth and expansion since its founding in 2005 and is now positioning itself to deliver medical education in the Valley. The formal placement of undergraduate medical education in the Office of the Provost and Executive Vice Chancellor has positioned the program to build a strong infrastructure to create health education and training partnerships/opportunities to train future healthcare providers who will remain and practice in the San Joaquin Valley. One such partnership is the formation of the San Joaquin Valley Program in Medical Education (SJV PRIME), a four-year medical education program, which started in 2011. Building on the early success of the SJV PRIME program, we are now poised to expand the program to an eight-year Baccalaureate/MD program (SJV PRIME+). SJV PRIME+ will leverage the power of three UC campuses (UCSF, UCSF Fresno, and UC Merced) to increase the size and diversity of the physician workforce that will be representative of the community they will serve. 

The program will recruit, educate, and support future physicians to serve the communities of the San Joaquin Valley. The eight-year program will take place entirely in the San Joaquin Valley with the goal of increasing the likelihood that graduates enter residency programs in the region and remain locally to practice and care for Valley community members. SJV PRIME/+ and the UCM Office of Medical Education (OME) seeks a community engagement coordinator who brings diverse experience in project management and operational program support. The incumbent will perform a wide variety of complex programmatic functions. 

Responsibilities include but are not limited to creating systems and processes, building, and maintaining relationships with internal and external stakeholders, managing and tracking project goals/milestones, cross-campus coordination and communication, reporting data findings, supporting program improvements, processing expense reimbursements, and procurement. More specifically, the coordinator will work in partnership with the Assistant Director of Inquiry and Community Engagement to: 

Plan UCM-based curricular needs for SJV PRIME/+ (i.e., ASPIRE, ARISE, and Physician Identity weeks) 

Set up logistics for program schedules, meetings, and site visits with partners.   

Explore/identify various outreach opportunities. 

Manage campus events/activities at UCM and UCSF Fresno.

Assist in identifying and matching students with faculty research mentors and schedule faculty for student interactions. 

Support faculty seminars, including evaluation component. 

Manage publication of scholarly works.

Create research and community engagement systems/processes.

Create and maintain written and electronic resources.

Provide logistical support for the development of clinical partnerships for student involvement.

To be successful, the incumbent will need to demonstrate exceptional communication and organizational skills, project management skills, and experience supporting senior leaders of complex programs with a capacity to execute multiple competing tasks and projects.

Key Responsibilities:

Analyzes a wide range of educational issues and applies project management principles and practices to achieve results in an academic setting. Participate in the development and execution of efficient and effective systems for managing projects and communications. Respond to changing priorities and/or conflicting deadlines, ensuring accurate and timely completion of tasks/deliverables. Work with matrixed teams of professionals and key stakeholders to deliver effective results for SJV

PRIME/+ and OME.

  • Manages timelines, create schedules for all aspects of the program, including outreach, program promotion, student mentorship, orientation sessions, required seminars and lectures, community and clinical site visits, and community engagement. 
  • Develops and maintains program processes to ensure compliance with established and evolving standards for documentation to meet regulatory requirements. 
  • Drafts program communications for internal stakeholders, coordinate program communications, and implements new ideas on ways to improve program communication. 
  • Coordinates efforts with a variety of external and internal contacts. 
  • Coordinates implementation with cross-organizational departments or external entities. 
  • Conducts post-implementation analysis to determine the need for further enhancements, finer distinctions, and/or additional process/policy components. 
  • Documents and follow up on important actions and meeting decisions. 
  • Creates data reports and analyzes strategies and timelines to ensure compliance with deadlines and other educational activities. 
  • Assesses program's effectiveness and recommends changes to program's content, policies and procedures accordingly. 
  • May serve on program committees and participate in short-term and long-term planning. 

Develops and manages relations with community-university integrated programs, builds and sustains community partnerships requiring extensive independent interface with outside community-based organizations, colleges/universities, and clinics. Identify research opportunities for undergraduate students in the Merced and Fresno surrounding area for SJV PRIME/+ and OME.

  • Develops and maintains a process for acquiring and tracking community engagement collaborators and research mentors. 
  • Fosters relationships with community-based and healthcare organizations and identify ongoing opportunities. 
  • Establishes and maintains contacts internally and with external constituents. 
  • Creates and maintains a comprehensive community outreach database, with point of contact Information, initiatives, and student assignments. 
  • Creates a system to promote and track student volunteer and research opportunities. 
  • Organizes community outreach activities; creates and maintains relationships with local pipeline programs, and identify outreach presenters (i.e. physicians, etc.). 
  • Identifies research faculty interested in mentoring students in research projects, helps connect students with research mentors. 
  • Tracks student research and volunteer activities. 
  • May lead workshops and/or information sessions for learners, faculty, and staff. 

Liaise between volunteer sites and SJV PRIME/+ campus partners to fulfill any administrative needs for volunteers (e.g. required onboarding for student volunteers, including online modules or paperwork, etc.). 

  • Identifies and helps address any needed paperwork between UCM/UCSF Fresno and site(s). 
  • Monitors student’s progress, trouble shoot and escalate matters as needed. 
  • Gathers data/experience for students and site to document impact. 
  • Provides regular reports on student impact. 
  • Plans annual recognition of sites and volunteers. 
  • Helps support students in organizing this work for presentations (e.g. for UCM community engagement symposium or other area to showcase their work). 

Plan, execute the logistics, and monitor budgets for program needs and social events and/or educational activities, which may include recruitment, orientation, graduation, conferences, and simulation and/or other assessment activities.

  • Coordinates all aspects of large scale, complex program social events and / or educational activities such as graduation, statewide conferences, and alumni events. 
  • Analyzes and establishes goals for activities and events regarding budgets, speakers, venue selection, partnerships, marketing strategies, logistical requirements, and develop and maintain vendor relationships.
  • Participates in budget development and expense reconciliation for the program and/or relevant health professions' educational activities.   
  • Generates reports and recommends methods to reduce costs. 
  • Collaborates with the program management on financial issues within the program.


Qualifications

  • Bachelor's degree from an accredited university in a related field, or equivalent experience/training (required), and 
  • Three years of directly related, progressively responsible experience in an administrative operations role, or a combination of education, training, and experience; and 
  • Three years of program coordination experience (required).

  • Thorough knowledge of data management, documentation methods used in investigating and presenting findings about the program. Skills include statistical analysis of data across databases and systems. 
  • Ability to establish and maintain effective working relationships with departmental staff, representatives of other agencies and the public.
