Job Summary

The Department of Otolaryngology-Head and Neck Surgery is recruiting an Administrative and Clinical Research Coordinator for the UCSF Voice and Swallowing Center, Divisions of Laryngology and Rhinology. The Incumbent will provide operational and research expertise to support the clinical, outreach, publicity and quality improvement/research activities of the divisions of Laryngology and Rhinology.

Duties will include, but will not be limited to the following:

  • Comprehensive care coordination (pre- and post-visit) for patients seen in the Laryngology and Rhinology clinics that may qualify for a clinical study.
  • In-person participation in the Laryngology-Rhinology Clinic for patient recruitment, consent, and survey administration.
  • Telephone survey administration
  • Database management and data entry
  • Conduct reviews of medical charts and electronic records to extract medical information and other data for use in studies.
  • Administrative support for research study activity (including working with the UCSF Committee for Human Research and other regulatory agencies).  NOTE: Position will require a fingerprint and background check.
  • Coordinate community outreach projects and activities, including conferences and other off-site events.
  • Manage the UCSF Voice and Swallowing center Voice Healthcare outreach program.
  • Contribute and update to the websites for the Divisions of Laryngology and Rhinology and maintain the website for the UCSF Voice and Swallowing Center Voice Healthcare outreach program.

    Department Description

The Incumbent will provide operational and research expertise to support the clinical, outreach, publicity and quality improvement/research activities of the divisions of Laryngology and Rhinology.


    Required Qualifications

    • HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities.
    • Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population.
    • Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines.
    • Computer experience: Microsoft applications, FileMaker pro, video and photo editing software

    Preferred Qualifications

    • B.A. or B.S degree with a major in science or related
    • At least two years’ experience with CHR and/or study coordination
    • Fluency in the usage of Committee of Human Research (CHR) online iMEDris system for submission, renewal, and modification of protocols through this system.
    • Understanding of patient population to create rapport and a relationship, while also giving insight to what is realistic and appropriate for patient participation.
    • Experience with electronic medical records.
    • Experience with clinical patient management, including scheduling and insurance authorization
    • Experience with FileMaker database structure, maintenance, management, and/or creation
    • Knowledge of UCSF and departmental policies for dealing with reimbursement, guidelines for research, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.); knowledge of medical terminology, research policies and guidelines.
    • Experience applying the following regulations and guidelines:
      • Good Clinical Practice Guidelines
      • Health Information and Accountability Act (HIPAA)
      • The Protection of Human Research Subjects
      • CHR regulations for recruitment and consent of research subjects
      • Effective Cash Handling Procedures
      • Environmental Health and Safety Training
      • Fire Safety Training
