Job Description:

Responsibilities

Project Management -  Manage projects from submission of initial request, scoping project requirements, creating project schedules, and managing budgets. Projects should follow marketing department processes and documentation requirements. Gather and document project cost and timeline estimates from internal staff and external vendors including photography, printing, web development, creative freelancers, etc. Conduct weekly budget reviews of active jobs. Analyze project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met.

Client Relations - Proactive communication with all stakeholders, internal employees and external vendors/partners. Effective communication of tasks and timelines to meet deadlines. Identify and bring attention to project scope creep. Collaborative communication in building and maintaining strong relationships while managing resources, renegotiating timelines, and resetting expectations.

Print Production Management - Work with Admissions Operations to document and have a shared understanding of print resources to inform projects, whether to reuse existing resources or schedule reprints as needed. Manage all aspects of print production, including identifying print vendors, securing print estimates, sending design files to printer, overseeing timelines and costs of print production, facilitating hard- and soft-copy printer proof review and communication with print vendor, and managing successful delivery of printed materials to correct location. 

Process Improvement & Project Management Tool Administration - Develop, document, implement, and maintain processes and process improvement, especially for project management and use of WorkFront (or other project management system). Onboard and train new and existing staff to encourage full utilization of systems. Partner with execution team members to direct and drive process improvements in the execution of creative deliverables, ensuring systems and processes are defined, reviewed, improved and maintained efficiently and effectively.


Requirements:

Experience

  • 5 - 8 years experience in a professional setting as a project manager and/or client services manager with specific experience in managing print products with direct print vendor interaction.
  • Experience using project management tools, documenting all phases of a project, work breakdown structure, risks, issues, execution/implementation, quality control and project closeout.
  • Proven ability to work in complex systems that may or may not integrate with each other.
  • Excellent ability to perform complex tasks and to prioritize multiple projects are critical
  • Experience in developing internal processes, improvements, documentation and training is essential 
  • Exceptional attention to detail 
  • Troubleshooting print vendor issues
  • Strong attention to deadlines and budgetary guidelines
  • Proven success working with all levels of management
  • Strong written and verbal communication skills
  • Excellent presentation and client services skills

Education

  • Required: four-year business degree--may include business administration, marketing, project management or other related field
