The NYU Shanghai Library seeks a passionate and service-oriented Circulation Services Coordinator. Reporting to the Head of Access Services, the successful candidate will oversee the day-to-day operations of the library circulation desk, and directly supervise student assistants for circulation services. The person works collaboratively with a team of library assistants to support a variety of library services such as circulation, course reserves, space management, and resource sharing. The person is expected to provide high touch user-services and be tasked with solving comprehensive operational problems independently. Evening and weekend hours may be assigned to cover staff shortages during those hours.

The main responsibilities include: 

Responsibility – Management (40 %)

  • Oversee the daily operation of the Circulation Desk including personnel scheduling and staff assignment.
  • Coordinate the orientation and training of new circulation staff in collaboration with the Head of Access Services.
  • Manage the library student work program, including recruiting, training, scheduling, supervising, time reporting, performance management, and termination.
  • Serve as the primary point of contact for patron inquiries, concerns, and complaints, interpreting library policies and procedures as needed.
  • Lead the development, implementation, and evaluation of circulation policies, procedures, and workflows to promote a customer-service focus.
  • Oversee the patron off-boarding process and coordinate with public safety, student life, HR, and faculty services on user account and circulation matters.
  • Participate in the management of the library's physical and electronic course reserve service.

Responsibility- Circulation (40 %)

  • Perform a full range of circulation desk procedures and duties using the library management system, including checking in and out library materials, overdue book recall procedures, collecting fees and fines, and resolving user account issues.
  • Communicate promptly and effectively with patrons regarding fines/billing matters. 
  • Compile and report on statistics related to library space usage, patron inquiries, and book circulation.
  • Collaborate with the team on managing the library facilities and equipment; identify and report maintenance problems.
  • Collaborate with the team to ensure the general appearance of the library; monitor the use of the library space including library stacks, Academic Commons, and group study rooms; respond to issues related to noise, camping, etc.
  • Assist patrons with directional, access, technical, and ready-reference questions in person, on the phone, and through email.
  • Assist and instruct patrons in the use of library equipment and facilities.
  • Participate in the rotation of opening and closing the library.

Responsibility - Other (20 %)

  • Support collection maintenance operations, including shifting, shelf-reading, inventory, labeling, and signage projects.
  • Seek innovative and creative ways to market, enhance, and improve access services.
  • Work closely with other library functions to develop innovative and welcoming services and programs.
  • Perform other duties as assigned.

Required Education

  • Bachelor’s Degree

Required Experience 

  • Minimum 2-3 years of customer service or comparable experience.


Preferred Experience 

  • Master’s Degree.
  • Previous experience working in a college or university academic environment.
  • Experience managing circulation services in an academic library.
  • Experience with supervision and training.
  • Familiarity with library systems such as Alma, Primo, and ARes


Required Knowledge, Skills, and Abilities 

  • Excellent interpersonal and communication skills (written and verbal in both English and Chinese) in an international environment
  • Strong writing skills and ability to effectively communicate with patrons, peers, subordinates, and supervisors.
  • Demonstrated commitment to innovation, creativity, and excellence in providing customer service.
  • Strong organizational, problem-solving, and time-management skills.
  • Demonstrated ability to work creatively, collaboratively and effectively, both as a team member and independently.
  • Advanced knowledge of professional library principles, practices, and materials related to circulation functions.
  • Familiarity with copyright and fair use guidelines as it pertains to educational use.
  • Strong ability to pay attention to detail.
  • Ability to initiate and maintain cooperative working relationships with library patrons, co-workers, supervisors, and managers.
  • Proficiency with productivity software, library equipment, and digital file management.
