Position Summary
William & Mary Libraries welcomes over 600,000 library users through our doors each year. We are hiring a Circulation Assistant to join our team. As a member of the Circulation team, this position staffs the circulation desk, ensuring that library users receive excellent overall service including access to collections and facilities while providing a welcoming and inclusive space to support teaching, learning, and research for the William & Mary community. This role participates in departmental decision-making and problem-solving. Excellent communication skills are essential.
The schedule for this position requires some flexibility due to rotational scheduling. Shifts are typically Monday – Friday 7AM-3:30PM or 8:30AM-5PM with the exception of one evening shift being 12:30PM-9PM. Occasional weekends required.
As a member of the circulation team, the Circulation Assistant will support the many facets of the department, including:
After appropriate training, routinely serve as a rotating staff person in charge of the library with responsibility for the safety and security of persons and materials in the library.
  • Ensure that Swem Library is open and/or closed according to established schedules.
  • Understand and apply building safety procedures (evacuation, tornado, active shooter) and operate PA system and act decisively during emergencies to ensure patron and staff safety.

Circulation Desk Customer Service
  • Work assigned shifts at circulation desk or as the staff back up, including checking in and out library materials, answering questions, interpreting and applying library policies and procedures.
  • Direct student staff to ensure most urgent work is completed in a timely manner.

Maintain Bookstacks at Swem Library and Offsite Stacks
  • Oversee library bookstacks, ensuring the approximately 1,300,000 books are in good order and well distributed on the shelves.
  • Organize and manage shifting projects to make space for new books and/or collections.
  • Coordinates student re-shelving of the 35-45,000 items annually (either used in the library or checked out & returned) in a timely manner.

Coordinate Delivery of Library Materials to Partner Libraries
  • Schedule and oversee student employees to complete deliveries and pick-up of books across campus using the library electric vehicle, electric bike, and delivery to off-campus locations using the library van.

Assist with Student Supervision
  • Direct student workers to complete assigned tasks.
  • Leads student employees by answering their questions, and conducting informal and formal training, acting as a good role model and providing a positive place to work.

Other Duties as Assigned
  • Assist with set-up for library events including set up and break down of tables, chairs, and signage.

Required Qualifications
  • High School Diploma
  • Experience working in a customer service
  • Experience using Microsoft software
  • Demonstrated ability to prioritize assignments, interpret and apply policies and procedures and problem solving.

Preferred Qualifications
● Bachelor’s degree
● Previous experience working in a library
● Experience hiring, training, or supervising others
● Experience circulating library materials using an integrated library system
● Experience in maintaining library bookstacks or similar inventory management

Advertised Pay Range $41,000 - $45,000

All hiring rates are commensurate with relevant experience up to the advertised amount considering internal alignment.
