Position Summary:
The Center Coordinator provides administrative and program support for two university academic units: the National Science Foundation Center for Energy Smart Electronic Systems (NSF ES2) (under the direction of Alfonso Ortega, and the Strategic Initiative for Climate, Justice, and Sustainability (SICJS), under the direction of Alfonso Ortega and Joseph Lennon.
This Center Coordinator provides high-level administrative and departmental operations support including financial planning and reporting, administrative support such as scheduling and travel and event logistics, along with communication projects both within the centers and to the broader industries.
This is a full-time position, supporting the ES2 Center 50% time, and the SICJS 50% time.

Duties and Responsibilities:
Support for the Strategic Initiative for Climate Justice and Sustainability:
  • Provide administrative support to the Directors.
  • Schedule steering committee meetings and assist directors with agendas, action items, and meeting summaries.
  • Coordinate and execute meetings, special events, and workshops involving both internal and external constituents.
  • Provide administrative support to faculty and staff on SICJS sponsored or co-sponsored projects.
  • Provide operational support including financial planning and reporting.
  • Coordinate and administer Faculty Fellows program with oversight from SICJS Directors.
  • Coordinate and communicate with interdisciplinary research teams, and assist in identifying funding opportunities.
  • Assist directors and center faculty on involvement with community groups to develop community-based research projects.
  • Coordinate collection of department news and works with the director and College’s Director of Communication and Marketing on departmental website and newsletter.

Support for the NSF Center for Energy Smart Electronic Systems (ES2):

  • Provide administrative support to the Director and Center research faculty with Center-related matters.
  • Coordinate and execute meetings, special events, and workshops involving both internal and external constituents.
  • Provide support to ES2 Team with ordering research and administrative supplies via approved procurement methods, including setting up new vendors, creating and reconciling purchase orders, reconciling procurement card purchases.
  • Ensure that purchases are accurately documented and justified for audit purposes.
  • Coordinate travel arrangements for research team and reconcile travel expenses.
  • Serve as liaison to the Lead ES2 Center University and personnel at other university sites.
  • Provide operational support including financial planning and reporting, including facilitating ES2 center industry member agreements, invoicing, payment tracking, reconciliation with VU financial systems to ensure both institutional and center records are accurate, preparation and submission of annual membership report including securing institutional approval.
  • Coordinate collection of department news and works with the director and College’s Director of Communication and Marketing on departmental website and newsletters; assist with the preparation and submission of additional ES2 reports.

Perform other duties and assistant with projects as assigned.
Minimum Qualifications:
  • Bachelor’s degree required; combination of high school diploma and work experience may be considered.

The candidate must have a minimum of three to five years of relevant and applicable work experience in an administrative or academic setting and must possess the following attributes:
  • Administrative skills and office operations, preferably in an academic environment.
  • Proficiencies with spreadsheet, database, and presentation software (Microsoft Suite).
  • A Knowledge of budgeting and financial reporting, social media and other digital communications tools.
  • An ability to keep current with Villanova University job-related technologies and databases (e.g., applicant tracking and performance management software, student database software(s) and Banner).
  • Must have strong communication, organizational and problem-solving skills.
  • The individual must be able to work independently as well as with others in a productive manner.

Preferred Qualifications:
Preferred qualifications, though not required, include:
  • A Bachelor’s degree in engineering, science, sustainability or contributing disciplines.
  • Previous experience working in a higher education environment.
  • Familiarity with uniform guidance cost principles.
Physical Requirements and/or Unusual Work Hours:
Individual may have to work occasional evenings and weekends as demands of the job dictate.
