Position Summary
The Career Student Associate is a vital member of the Career Services team at the University of the Incarnate Word. This position is designed to provide students with an opportunity to gain valuable work experience while assisting their peers in navigating the career development process. The Career Student Associate will support the Career Services Office in its vision to empower students to explore their interests and talents, develop their brand, and gain professional experience to make the successful transition from college to a profession. The Career Student Associate reports to the Director of Career Services.
Essential Functions
Front Desk Operations:
  • Welcome and assist students, alumni, and employers visiting the Career Center.
  • Answer phone calls and emails, providing information and directing inquiries to the appropriate staff members.

Resource Management:
  • Maintain and organize career-related resources, including job postings, company literature, and career related materials.
  • Assist in updating and managing relevant portions of our career management platform, Handshake.

Event Support:
  • Assist in the planning and execution of career-related events, workshops, and employer engagement activities.
  • Help coordinate logistics for career fairs, networking events, and on-campus employer visits.

Appointment and Workshop Scheduling:
  • Assist students in scheduling appointments with professional staff and peer career coaches.
  • Manage the appointment schedule and remind students of upcoming appointments where appropriate.
  • Manage Workshop schedule requests and direct inquiries to the appropriate staff members and update main calendars when appropriate.

Data Entry and Reporting:
  • Input and maintain accurate records of student interactions and services provided.
  • Generate reports on career center usage and trends.

And other duties as assigned.

  • Proficiency in Microsoft Office Suite and comfort with technology platforms.
  • Attention to detail.

  • Ability to work independently and as part of a team.
  • Ability to learn new software platforms as necessary to complete office functions.
  • Ability to work effectively with individuals from diverse communities and cultures.

Required Education
  • Current UIW student with a 2.5 GPA (or higher), awarded Financial Aid Work-Study eligibility.

  • Current UIW student approved and eligible to participate in the Federal Work-Study program.

Required Work Experience
Experience using Microsoft Office or related platforms.
Preferred Qualifications
  • Experience in customer service environment.
  • Prior office experience or in a similar setting.
  • Typing and data entry skills.

Work Hours
Variable hours Monday through Friday 8:00am-5:00pm.
