Job Summary:

We are seeking a program assistant to help with the day-to-day coordination and administration of Cancer Center’s intramural and limited extramural research funding programs.

Key Responsibilities:

  • Provide direct administrative support to the Intramural Funding Program Manager and Assistant Director for Research Administration
  • Disseminate regular internal communications and funding opportunities through the center listserv system
  • Support the Program Manager in running internal and limited extramural funding processes
  • Develop grant intake forms and track grant submissions using SmartSheet or other grant management programs
  • Facilitate membership of the Scientific Review Committee
  • Assist with engaging and communicating with Scientific Review Committee members and monitoring the submission of reviews
  • Schedule meetings and review committee sessions by identifying dates/times compatible across multiple calendars
  • Prepare and distribute award letters to grant recipients
  • Coordinate with financial administrators to set up award speed types
  • Enter award information into reporting system
  • Communicate requests for scientific progress updates from awardees and monitor their timely submission

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Program Assistant I

  • Four years of experience in occupational field related to the work assigned to the position.

Program Assistant II

  • Five years of experience in occupational field related to the work assigned to the position.

Applicants must meet minimum qualifications at the time of hire.

Substitution: Appropriate education will substitute for the required experience on a year-for-year basis for both levels.

Preferred Qualifications:

  • Professional and progressively responsible administrative experience
  • Experience coordinating schedules, meetings, and events
  • Experience working in an academic and/or medical environment
  • Experience with Smartsheets™ or REDCAP™

Knowledge, Skills and Abilities:

  • Exceptional customer service and relationship management skills
  • Ability to navigate priorities and competing deadlines
  • Excellent written and oral communication skills
  • Strong problem-solving skills
  • Ability to work independently on assigned projects with minimal supervision
  • Experience coordinating schedules, meetings and events
  • Ability to maintain confidentiality and handle sensitive information
  • Experience with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as

Program Assistant I – $50,822-$63,019

Program Assistant II – $56,031-$69,478

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position is eligible for overtime.
