Job Summary

Applies business process and analysis concepts and department / unit and location policies and procedures to resolve a variety of business process problems. Works on business process issues of limited to moderate scope where evaluation of processes, procedures and data requires analysis using a variety of factors.
Collaboratively work with university departments and SCM teams, in particular with Procurement and Accounts Payable as one team, being a liaison to research and resolve complex procure to pay issues. Follows up and facilitates the timely resolution and successful closure of these issues. Assist departments in identifying opportunities for procure to pay process improvement and driving operational efficiency.

Troubleshoot invoicing, travel/expense reimbursement, and payment functional issues within the university systems including the eProcurement and expense reimbursement systems. Resolve system process or workflow failures related to invoices. Collaborates with and escalates issues to senior Business Systems Analysts and technical teams to help resolve system issues. Participate in the testing and troubleshooting of system issues, changes, and updates.

Enhance and promote knowledge about various systems usage, procure to pay processes, and best practices. Create, maintain, and deliver user training through a variety of mediums and channels.

Provide resolution of day to day operational and transactional issues that prevent the timely approval or completion of university payment obligations within the university's eProcurement and reimbursement systems. Serve as the liaison between departments and suppliers to resolve urgent and critical payment issues.

Department Description

Supply Chain Management (SCM) manages the processes that allow UCSF to source, procure, contract, move, pay for and store goods and services. By enabling academic, medical, and research excellence we directly impact UCSF's mission and "advance health worldwide". SCM's business lines provide essential support to all facets of the UCSF enterprise including research, campus, clinics and health services. SCM is a collaborative leader influencing and impacting supply chain operations at all UC campus and Health locations.

The Financial Operations Team is responsible for accounts payable, travel programs, and supporting procure to pay operations. They provide analysis, troubleshooting, and resolution of match exceptions, pending approvals, with ensuring the accuracy, timeliness and proper accounting for disbursements including financial reporting and reconciliation, interpretation and application of policy, regulatory guidelines and requirements. It is also responsible for payments to vendors, students, employees and research subjects.


Required Qualifications

  • Bachelor's degree in Business Administration, Accounting, Finance, Computer Information Systems, Computer Science, or related field and / or equivalent experience / training
  • 1-3 years of experience in business systems analysis or systems support for enterprise level applications, or equivalent experience / training
  • Demonstrated ability to work with others from diverse backgrounds
  • Intermediate knowledge of related areas of IT
  • Self-motivated and works independently and as part of a team. Able to learn effectively and meet deadlines. Demonstrates problem-solving skills
  • General knowledge of business and process analysis functions
  • Knowledge relating to software design
  • Demonstrated testing and test planning skills
  • Skills associated with analysis of processes and issues of moderate scope, information flow and architecture
  • Demonstrated effective communication and interpersonal skills. Demonstrated ability to communicate technical information to technical and non-technical personnel at various levels in the organization. Interpersonal and communications skills to work with both technical and non-technical personnel at various levels in the organization
  • Proficient in Microsoft Office suite of applications
  • Excellent attention to details and strong organization skills
  • Ability to work under pressure in a fast-paced ambiguous environment
  • Ability to prepare and deliver detailed training in a variety of formats including written instructions, documentation, electronic training, and in person training

Preferred Qualifications

  • Knowledge in Procure to Pay concepts and systems
