This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD’s School of Medicine, its' Medical Centers, and affiliates.

Under the supervision of the Director for Simulation Education and the guidance of the Associate Dean for Simulation Education, the Business & Simulation Operations Specialist (BSOS) is expected to provide financial, administrative, educational and technical support for the Simulation Training Center at UC San Diego, School of Medicine.

BSOS will oversee, monitor and manage STC budget, track operational expenses, reconcile monthly recharge accounts (internal & external) to ensure billing accuracy, and create yearly budget summaries. Develop and maintain inventorial equipment records, inventory policies, and maintenance schedules to ensure that equipment and supplies are managed in a cost effective way. Manage and organize day-to-day simulation reservations, liaise with clients to ensure accuracy of logistics and billing. Oversee shared e-mail account, handling general inquiries and triaging daily e-mails to the appropriate team member. Oversee STC shared drive, organizing and editing contents. Collect STC user data and center utilization data to aid in evaluating STC effectiveness and efficiency.

BSOS will support simulation events at La Jolla Main Campus and at Campus East San Diego, including the preparation (set up and tear down), operation, maintenance, trouble-shooting, and repair of computerized manikins (software and hardware), task trainers and audiovisual equipment. Assist STC clients with administrative support and research initiatives. Support the UCSD Simulation Fellowship Program. Performs other duties as assigned.

  • Six years of related experience, education/training, OR an Bachelor’s degree in related area plus two years of related experience/training.

  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.

  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.

  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.

  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.

  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.

  • Experience in human anatomy, physiology, medicine and healthcare setting or related experience.

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.

  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.

  • Experience with managing department budgets and financial transactions, such as purchases, expenses, revenue, invoices, and payments.

  • Previous experience working with medical simulation education.

  • Thorough knowledge of B-lineMedical evaluation an AV capture and Laerdal Sun software and platforms.

  • Employment is subject to a criminal background check.

  • Ability to work evenings and weekends when necessary.

  • Ability to lift heavy equipment (30 lbs.) with assistance equipment and work with medical devices.
