Job Summary:

The Division of Rheumatology exists to care for patients with rheumatic diseases; to teach undergraduate students, interns, residents, fellows, and practicing physicians; and to conduct research concerning the prevention, treatment, and cure for Rheumatic diseases. This full-time (1.0FTE) benefits-eligible, University Staff (unclassified) position provides administrative and financial support for the Division of Rheumatology by providing professional oversight of human resources, procurement, logistical support, budgetary tracking, reporting, and overall administrative support. The Business Services Specialist will be responsible for performing transactional-level functions for the division. This individual must exercise initiative and understand the complex personnel system of the university and follow appropriate policies and procedures for faculty, professional staff, temporary staff, and other personnel.

Key Responsibilities:

  • Hire employees into the CU System by ensuring receipt of all necessary documents. Coordinate as necessary with HRSS, Employee Services, and International Tax.
  • Perform monthly adjustments and monitoring of Divisions payroll funding distributions, compensation, job codes, and payroll expense transfers according to awarded budgets for all sponsored projects for grant personnel effort, as well as departmental accounts.
  • Maintain all departmental employees’ personnel records, i.e., leave requests, time records, hiring records, moving expenses, scope of work, contract hiring, promotions, separations, etc.
  • Provide Grants Manager support in post award transactions, such as assisting with the completion and timely submission of ePERs forms, preparing salary budgets by utilizing employee compensation rates, appropriate fringe benefit rates, and respond to questions from research staff.
  • Provide pre-award support as needed to the Clinical Trials Core and Grants Manager, such as submitting contract trial agreements in InfoEd, set up gift card funds, and other programmatic grant support to center and program grants.
  • Prepare and submit all subcontracts, applicable standing purchase orders, and amendments for sponsored projects.
  • Supports the Division’s administrative team, including but not limited to event coordinating, back up tasks, and taking attendance/meeting minutes.
  • Participate with other team members in the development of practices and procedures in areas in need of development/improvement.

Work Location:

Hybrid – this role is eligible for a hybrid schedule of 2-3 days per week on campus in Aurora, CO and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

Entry Level:

  • A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, human resources, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.

Intermediate Level:

  • A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • One (1) year of professional level experience business administration experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Previous experience working for an academic medical center, particularly in administrative and faculty program support. 
  • Demonstrated experience in bookkeeping and journal entries.
  • Previous experience working with academic financial processes.
  • Experience with University of Colorado systems.
  • Experience with financial and accounting concepts.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Detail orientated.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as:

Entry Level: $50,416 - $64,129

Intermediate Level: $54,864 - $69,787

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
