Primary Purpose of Position
The Criminal Justice & Criminology Business Services Coordinator (BSC) acts as the department office manager, working directly with the Chair and the faculty to facilitate all operations of the Department. This includes managing budgets in multiple accounts including State, Discretionary, Summer School, E&T, Trust, and Grants and Contracts. The BSC maintains department records and paperwork, aids in class scheduling, hires and supervises student workers, facilitates event scheduling, and provides general office reception. The position also involves assisting students, faculty, and visitors with various questions. The person in this role will be responsible for the preparation of Financial Transactions Requests, Assistantships, Electronic Check Requests, NinerWorks Forms (formerly Electronic Personnel Action Forms), various reports from university databases, and approves 49er Mart Requisitions and P-card Requests.
Minimum Education/Experience
Required Minimum Qualifications:

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:

Four-year degree in a related business function; or an equivalent combination of training and experience.
Essential Job Duties
  • Exercise responsibility for administering the budget, which includes making recommendations regarding the use and distribution of funds.
  • Responsible for general fund account maintenance including the monitoring of expenditures and account balances for various funds; balancing internal accounting and records against Banner.
  • Responsible for graduate student contracts and hiring paperwork for part-time faculty.
  • Assist Chair with coordinating and prioritizing funding requests based on account history.
  • Record expenditures and reconcile budgets weekly/monthly for all department funds.
  • Utilize, reconcile, and manipulate data for management reports from different internal and external sources. Apply an understanding of the information to extrapolate key data elements.
  • Compile and organize information from different sources to develop reports and reconcile data.
  • Independently resolve and/or develop recommendations for issues and problems.
  • Resolve financial discrepancies in a timely manner. Problem resolution requires some interpretation of policy and procedures.
  • Work with Academic Advisor, Undergraduate Program Coordinator and Graduate Director to provide students with the correct information on advising, registration, declaring/changing majors, and schedules, procedures for course substitutions.
Other Work Responsibilities
  • Serve as primary departmental resource on business procedures.
  • Assist faculty with budget or financial submissions such as grant paperwork and travel forms.
  • Work professionally with complex, confidential, and sensitive information.
  • Independently provide information to students, faculty, staff, and visitors as needed.
  • Coordinate and direct office support activities by organizing processes around scheduled deadlines such as for academic scheduling, teaching evaluations, speakers, receptions, etc.
  • Other duties, as assigned.
Departmental Preferred Experience, Skills, Training/Education
  • Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience.
  • Previous experience working in Higher Education as an Office Manager or in a similar role is strongly preferred. Familiarity with UNC systems is a plus.
  • Budget management experience is desired.
  • Google and MS Suite software experience is preferred.
