Job Summary:

This role collaborates closely with the Director of Finance and Administration (DFA) and holds responsibility for overseeing administrative, operational, and communication tasks on a part-time basis. This position will also provide professional oversight in various areas such as human resources, logistical support, reporting, and overall administrative management.

This position demonstrates initiative and requires a comprehensive understanding of the university's structure, along with the ability to adhere to pertinent policies and procedures governing faculty, professional staff, temporary staff, and other personnel.

Supervision Received: This position will report to the Director of Finance and Administration

Examples of Work Performed: 

Business Operations – 70%

  • Spearhead human resources, administrative, and operational activities in collaboration with the DFA.
  • Provide leadership, guidance, and direction to both internal and external stakeholders and partners on administration and operations matters.
  • Work closely with senior leadership to formulate and execute strategic business initiatives while providing oversight to program operations.
  • Partner with the DFA to lead the implementation of various cross-functional projects and initiatives, ensuring effective coordination and timely completion.

Communications – 30%

  • Develop, implement, and coordinate internal and external communications strategy in partnership with stakeholders.
  • Offer expertise in customer communications and marketing. 
  • Support event planning and advertisement.
  • Act as a content producer including graphics, videos, flyers, and other visual communication assets.

Work Location:

Hybrid – this role is eligible to work a hybrid schedule with 1-2 days a week on campus.

Qualifications:

Minimum Qualifications:

  • Bachelor’s degree from an accredited college or university in business, business administration, healthcare administration, communications, or other related fields.
  • 3-5 years of broad and diversified professional level experience that includes program, project, or operational management/administration. Preference given for experience in health care or higher education.*
  • At least 3 years of experience in communications, public relations, or marketing.*

*Experience can be obtained simultaneously.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Additional training/professional development in the following areas: writing for the web, search engine optimization, content management systems, HTML/CSS, video editing, and social media strategy and implementation.
  • Familiarity with communicating technical/informatics content and writing about technology for a non-technical audience.
  • Experience working in a web content management system (Sitefinity, HubSpot, Constant Contact, etc).
  • Communications experience in a university, academic medical center, and/or large hospital system environment.
  • Experience with graphic design and video editing.
  • Proven work experience with social media marketing platforms, tools, and social media analytics tools.
  • Experience with Google Suite/Workspace.
  • Experience with project management tools, such as Smartsheet, Basecamp, and MS Teams.
  • JIRA, etc. Experience working with secure web platforms for building and managing databases (e.g., REDCAP).

  • Experience working in an academic core service or support service.
  • Excellent customer service skills.
  • Excellent written and oral communication skills.
  • Strong analytical skills, critical thinking, attention to detail and accuracy, and strong interpersonal skills.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as $34,105 to $43,381.50 (calculated for 0.5 FTE).

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
