The Business Operations Coordinator fulfills an administrative support function within the dean’s office in the Klingler College of Arts and Sciences. With Marquette’s new strategic plan and the College of Arts and Sciences being the largest and most diverse academic unit within the university, this is an extraordinary time to join us in this role. This position is responsible for assisting with financial and other management operations, including budgeting, hiring and staff management processes and special projects. This role is part of a dynamic, high-functioning department and requires a strong commitment to high quality work, an eye for detail and a range of skills for reporting and administrative tasks.

Duties and Responsibilities
1. Monitor budgets for all responsibility centers and transfer funds in accordance with College budget priorities; monitor and reconcile accounts with insufficient funds. Establish budgets for restricted and endowment accounts.
2. Coordinate, budget, and update position details in budget system to initiate salary authorizations for faculty and staff.
3. Coordinate collection of graduate assistant student offer letters, Graduate School spreadsheet data, and CheckMarq financial aid reports to budget and update position details in budgets system to initiate salary authorizations for graduate students.
4. Initiate faculty contracts (tenure track, non-tenure-track, and part-time faculty) and eligible annual faculty merit increase letters.
5. Coordinate hiring process for faculty and staff; liaison with Human Resources.
6. Process purchase orders and reimbursements for the College office. Approve credit card and expense reports for faculty and staff across the College.
7. Provide support and training for staff and faculty on University Policies and Procedures as necessary. Work closely with Comptroller’s Office, Purchasing, Payroll, General Counsel, and other campus departments on general policies and procedures.
8. Hire and supervise Dean’s Office student employees.
9. Perform back up timecard approval duties in Emp Center and enter exempt employees vacation time.
Required Knowledge, Skills and Abilities
  • Associate’s degree
  • A minimum of 2 years of related financial admin experience
  • Strong computer competency, including proficiency in Microsoft Office Professional Suite using advanced features of Excel
  • Demonstrated ability to organize and maintain accurate records, attention to detail
  • Ability to work under pressure and meet required deadlines
  • Knowledge of accounts payable, payroll, purchasing, human resources, and budget functions
  • Ability to maintain confidential records
  • Self-starter, ability to work independently
  • Strong written, verbal, and interpersonal skills
  • Sound judgement and problem-solving skills
  • Strong customer service and organizational skills
Preferred Knowledge, Skills and Abilities
  • Understanding of the higher education or nonprofit environment
  • Bachelor’s degree
  • Team leadership experience
  • Oracle E-Business Suite Applications or similar, such as Workday
