Job Description

The Business Assistant I provides staff support for the full range of business activities including accounting, budget and personnel functions requiring broad general knowledge of business procedures. This position will be located in either Henderson or Carthage.


Responsibilities:
-Provide business support to field programs, personnel and operations including: maintaining fiscal, personnel and program records; provide basic assistance with issues relating to HR, fiscal procedures and agency programs.  Demonstrate working knowledge of various software programs including FAMIS, Workday and Microsoft Office Applications.  Respond promptly  and carefully to routine personnel inquiries directly, either face-to-face, electronically, by telephone or written communication.

 

-Process and examine payment vouchers, payroll, mileage reports, credit card vouchers and travel vouchers for accuracy, completeness, eligibility an conformance with State statutes, System policies and TFS policies and procedures.  Provide support/assistance to program staff in delivering various forestry and fire-related programs and activities including: setting up for events, copying and preparing handout materials, purchasing supplies needed, making arrangements with organizations, scheduling space and initiating rental agreements, providing support to emergency response operations, etc.

 

-Participate in agency-sponsored training programs and activities to support program initiatives.

 

-Provide support for other agency departments as needed.

 

-May require infrequent travel in State vehicles with overnight stays.

 

-Work Hours: Monday - Friday, 8am - 5pm with occasional weekend and after-hours work.

 

-Other duties as assigned.

 

This is a security-sensitive position.  The individual in this position is required to handle Protected Health Information (PHI) as defined by HIPAA regulations.  The individual is required to handle PHI in accordance with A&M System's policy and is further required to complete HIPAA training as a condition of employment, within a reasonable timeframe after the individual's employment and on an as-needed basis thereafter.

Education and Experience:
Required Education: High school diploma or equivalent.

Preferred Education: Associate Degree or equivalent in business or closely related field.

Required Experience: Minimum 1 year experience in general office and customer service or accounting and customer service..

Preferred Experience: 1+ years experience in general office and customer service or accounting and customer service.


Knowledge, Skills and Abilities:
Required Knowledge: Microsoft Office (Word, Excel)  of word processing and spreadsheet applications.
Required Ability:  Plan and organize.  Multi-task and work cooperatively with others.

Required Skills:  Good interpersonal and communication skills.  Sound judgement. Great attention to detail. Type at least 40-50 wpm.
