    Job Summary
    Under the direction of the Assistant Director for Finance, the Business and Finance Coordinator will be responsible for daily administrative, business, finance, and personnel functions within the CCIL. The incumbent will require the ability to consult with a diverse array of constituents while handling information of a sensitive and confidential nature.
    Duties & Responsibilities
    Business and Finance
  • Prepare budget transfers for CCIL commitments. Access documentation which substantiates the requested transfer and communicate with CCIL leadership as needed to clarify intended use, limitations, or parameters on provided funding. Communicate with receiving unit personnel to ensure use, limitations, or parameters are clearly understood.
  • Reconcile monthly financial reports and identify, communicate, and report on needed cost transfers, labor redistributions or encumbrance modifications. Take corrective action as directed.
  • Provide support for the financial and post award aspects of the Pilot Project funding mechanism. This includes establishment of CFOPs, preparation of transfers within the commitments system, monitoring spend rates, tracking deliverables, processing no-cost extensions.
  • Manage and execute the biennial inventory process.
  • Serve as the FABweb equipment manager and coordinate all aspects of the inventory process. Serve as point of contact for all internal and external questions related to items tracked in FabWeb and FabPlus inventory systems.
  • Act as Chrome River charge code reviewer for all CCIL transactions.
  • As needed, communicate with CCIL member home units to establish CFOPs related to support for research, recruitment or retention packages. As directed, request new CFOPAL codes from University Accounting and Financial Reporting (UAFR).
  • Research and take appropriate action to close open purchase orders which are no longer needed.
    Data and Reporting
  • Employ multiple internal and university-wide systems to accomplish assigned work. Systems include the Cancer Center Accounting and Reporting System (CCARS), Banner, FabWeb, FabPlus, Chrome River, HR Search Tool, My UI Financials, Facility Billing System (FBS), Commitments System and others.
  • Gather, analyze, and present financial data from multiple sources of data (Banner, EDW, DMI, internal systems, etc.) for administrative decision-making.
  • Develop, enhance, and facilitate financial reporting processes and procedures related to data to be used by CCIL leadership and administrative core team.
  • Maintain and provide internal report on the status of in-process personnel searches, projected hiring, historical hiring information and salary changes of staff.
  • Generate reports from the Facility Billing System (FBS) regarding all aspects of usage of the Tumor Engineering and Phenotyping (TEP) shared resource.
    Personnel Support
  • Serve as the point of contact for all logistical aspects of the search process for CCIL positions. Communicate with CCIL stakeholders, candidates, academic units, Office of Vice Chancellor for Research and Innovation (OVCRI) Human Resources as needed to ensure an effective and efficient search process.
  • Assemble search committees for open searches and coordinate meetings, communications and feedback of committee members. Provide summations of progress of searches and communicate with OVCRI HR as necessary to fulfill requests for information.
  • In consultation with CCIL administration and OVCRI HR, facilitate the development and refinement of CCIL staff job descriptions and faculty leadership memorandums of understanding.
  • In conjunction with CCIL Chief Diversity Officer, ensure search committees as well as candidate pools meet CCIL diversity, equity, and inclusion standards.

    Minimum Qualifications
  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience in a university setting.
  • Demonstrated experience with Banner, Chrome River, or similar applications and familiarity with University of Illinois business and finance policies and procedures.
  • Experience engaging with a variety of stakeholders to advance common goals.
    Preferred Qualifications
  • Master's degree in relevant field.
  • Two years of experience in a University of Illinois research institute setting.
  • A comprehensive understanding of University of Illinois at Urbana-Champaign systems, policies, and procedures.
    Knowledge, Skills and Abilities
  • Knowledge of university organizational structure, fund sources, accounting systems, policies, and procedures.
  • Ability to act with initiative and make independent decisions with minimal direct supervision.
  • Strong communication and interpersonal skills; strong analytical and problem-solving capabilities.
  • Ability to communicate and work effectively with both internal and external personnel.
  • Ability to read and understand written material and extract important points.
  • Ability to act with discretion when handling sensitive or confidential information.
  • Fluency with Microsoft Office products (primarily Outlook, Word, Excel)
    Appointment Information
    This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity. The salary range starts at $60,000.
