Job Summary
Performs complex duties. This position is responsible for coordinating and administering a division-wide function or program such as travel coordination, executive support, expense reimbursements, conference/event planning, etc. Duties include large-scale coordination, organization, and monitoring of associated projects, processes, deadlines and effectiveness measures and extensive cross-functional communication and work across university areas and/or with external partners. Bears overall responsibility for managing the administrative day-to-day operations for the division of OIT.
Provides leadership and oversight of internal controls for the administrative responsibilities of a division. Work involves establishing program goals and objectives; developing program guidelines and procedures; developing schedules, priorities, and standards for achieving program goals; evaluating program activities; developing budget requests; and coordinating program activities. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
Minimum Education and Experience
  • Bachelor’s degree; and 
  • Three to five years of experience performing administrative duties with two of these years in a position with unit-wide scope; and 
  • One to three years of supervisory experience; and 
  • One to three years administrative experience in higher education. 
  • An equivalent level of relevant education and experience may be considered.

Essential Duties and Responsibilities
  • Serve as travel SME for OIT and support staff when registering for conferences, booking hotels and flights and processing reimbursements – ensure compliance with pre-travel authorization and ensuring reimbursements meet state and institutional requirements.
  • Develop SOP’s for Business Operations and Services processes including diagrams and documents of order for OIT programs
  • Serve as the rep and ELT liaison for the handbook committee – including updating and writing new versions of document areas
  • Work with the Senior Leadership Team to review OIT processes and policies for change management strategies
  • Serve as intake coordinator OIT audits – review requests, assign tasks, schedule audit meetings, coordinate communication between divisions, develop and oversee project steps through audit completion
  • Assists with other special projects as assigned
  • Procures supplies/services through OneCard as requested
  • Serves as divisional timekeeper
  • Maintains executive calendars
  • Create and maintain divisional organizational chart within Visio – manage online informational links
  • Plans and executes all aspects of assigned meetings, conferences and other events as directed by members of the ELT
  • Coordinates with management and administration the business processes and management of those activities associated with OIT
