Job Description Summary

The Budget and Operations Coordinator will maintain financial files for two
grant-funded programs according to King-Chavez-Parks guidelines. Duties include, but are not limited to ordering supplies, making travel arrangements, and providing administrative support for all program activities. The coordinator will also travel to KCP Program meetings and annually to the KCP Equity in the Classroom Conference. They should also be skilled in word processing, database management, spreadsheets, and working with individuals from diverse backgrounds.

Essential Duties & Responsibilities (other duties may be assigned)

• Perform quarterly and fiscal-year end closing budget activities for both KCP grant-funded programs (MICUP and 4S) month-end and fiscal year-end closing activities, including quarterly expenditures reports and final reporting in the NexSys Grant Management System.
• Organize travel to KCP professional development and conferences including purchasing airline tickets, booking hotels, rentals cars, and travel reimbursement forms as well as cash advance requests.
• Assist the 4S Coordinator with organizing program events and activities. This may include purchasing supplies/equipment, developing promotional materials, or outreach to scholars.
• Schedule and attend periodic meetings with officials from the State of Michigan Department of Labor and Economic Opportunity and institutional GEAR UP representatives.
• Manage the webpages for each program as well as social media posts on Center for Diversity and Inclusion networks.
• Provide individual support and mentoring to students visiting or participating in activities in CDI to promote their retention and graduation from Michigan Tech.
• Connect students to opportunities for academic and personal development including student organizations, conferences, workshops, grants and scholarships, and careers and graduate school.
• Organize and assist with CDI-sponsored events and inter-office collaborations, including Annual Martin Luther King, Jr. Celebration, welcome week-programming, study sessions, etc.
• Actively participate in CDI weekly staff meetings and serve on committees within the Student Affairs division as needed.
• Attend events and work flexible hours as needed. Some evenings and weekends will be required.
• Seek new ways to improve efficiency and commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in university continuous improvement initiatives.
• Apply safety-related knowledge, skills, and practices to everyday work.
• Other duties as assigned.

Required Education, Certifications, Licensures (minimum requirements)

● Bachelor’s degree in a related field from an accredited college or university, or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience (minimum requirements)

● Two or more years of experience with word processing, database management, spreadsheets, and working with individuals from diverse backgrounds.

Desirable Education and/or Experience

● Experience with grant-funded program budgets
● Experience working in an educational setting

Required Knowledge, Skills, and/or Abilities (minimum requirements)

● Demonstrated knowledge of Microsoft/Google Office Suite including spreadsheet and database management.
● Experience in student-based programming related to diversity, equity, inclusion, and a sense of belonging.
● Experience with identifying educational challenges and barriers faced by historically marginalized students.
● Knowledge and understanding of issues significant to diverse communities.
● Ability to plan and implement educational and informational programs in a diverse cultural environment.
● Ability to work collaboratively with a diverse group of students, faculty, and staff.

Desirable Knowledge, Skills, and/or Abilities

● Experience working with grant management systems (SCRIBE, NexSys, Cayuse, etc.)
● Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.
