Budget & Administrative Coordinator I

Summary
The Budget & Administrative Coordinator is responsible for the systematic management of the capital tax exemption program as it relates to construction purchases. The coordinator works closely with general construction contractors, sub-contractors, and suppliers, as well as Tulane's materials management department and accounts payables department. The coordinator is responsible for reviewing material quotes, opening purchase orders, coordinating contractor approvals of all supplier payments, processing invoices and reconciling contractor pay applications for proper owner direct materials payment deductions. The coordinator is responsible for ensuring that all contractor, sub-contractor, and supplier financial activity fully comply with Tulane's financial compatibly systems as well as federal, state, and local tax exemption requirements. Incumbent participates in external service provider training meetings and serves as project-specific point of contact. Coordinator also assists in the facilitation of financial processes for Campus Services’ branch departments. Incumbent performs administrative tasks as directed. 
Required Knowledge, Skills, and Abilities
• Strong working knowledge of Excel required
• Working knowledge of Microsoft Office software (Word, Outlook) required
• Ability to process typical accounting transactions
• Must be detail oriented with strong organizational skills, able to work independently
• Able to work on multiple tasks with multiple groups 


REQUIRED BACKGROUND CHECK, PHYSICAL, AND DRUG SCREENING FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:
Selected candidates must complete and pass a background check and an occupational health screening as a condition of employment. For identified jobs, a drug screening will also be required. The background investigation required occupational health screening, and any required drug screening will be conducted after a conditional employment offer has been extended.
Required Education and/or Experience
• High School Diploma or equivalent
• 2 years experience in finance, accounting, or budgeting
Preferred Qualifications
• Bachelor’s Degree 
• Knowledge of AIA and Construction Library of Specifications
• Experience with Microsoft Power BI
Compensation Information
This position is classified as "non-exempt, hourly" and is assigned to pay grade 24.
