I. JOB OVERVIEW


Job Description Summary:
Events and Venues is looking for an Associate Director, University Events. The Division brings together the Scheduling, Venues, Executive Events, and University Events offices and works in close collaboration with divisions and teams across the university.
This position in the Events & Venues team reports to the Director, University Events. This position serves as the subject matter expert and direct liaison to school and division/unit representatives and providing guidance on internal major events.
Responsibilities include:
  • Provides subject matter expert advice regarding professional reviews, templates, guidance, vendor recommendations, office hours and trainings for schools, units and divisions – as it relates to events and venues.
  • Serves as trouble-shooter and coordinates with shared-service providers on campus to provide appropriate assistance to schools, units and divisions.
  • Maintain a working knowledge of all school and unit events (tentative and confirmed) through regular meetings and consistent communication with planners. Ensure that confirmed events are listed on the university calendar.
  • Coordinate shared services and university-wide resources to support over 20 school celebrations during Commencement Week.
  • Consult with campus units during the planning process about vendor and on-campus venue recommendations; ensure adherence to university policies and procedures; suggest best practices; review programming; and create planning resources.
  • Receive and process requests for visits from dignitaries and sponsored conferences. Provide protocol guidance and involve university offices as appropriate.
  • Coordinates long-term projects and services for the Events & Venues team; assists with planning of university events.
  • This position will also coordinate large groups of volunteers and temporary staff.
  • Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

The position is based at GW’s Foggy Bottom Campus in Washington, DC (but may require some local travel).
This position is designated as “Essential Onsite” which means this positions perform essential core safety and operational functions and typically need to be on campus even when access to campus is restricted. (For example, some employees that reported to work daily throughout the pandemic include lab personnel, EHS staff, police officers, facilities staff, among others.)


Minimum Qualifications:
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Typical Hiring Range Commensurate with Experience.
