ENROLLMENT MANAGEMENT (IN-ENRL-IUINA)

Optimizing our enrollment mix is crucial to the long-term viability of IU Indianapolis. There are several factors that influence a student's college choice, persistence, graduation and success. The Division of Enrollment Management is comprised of staff in the Office of Undergraduate Admissions, Office of Student Financial Services, Office of the Registrar, and Office for Veterans and Military personnel, as well as other areas supporting student enrollment. The Division also oversees and provides insight for its enrollment operations for the Fort Wayne and Columbus campuses.

Under the direction of the Director of Recruitment, Marketing, and Communications, the Associate Director of Recruitment, Marketing, and Communications works collaboratively across the Office of Undergraduate Admissions and academic schools to achieve student recruitment, outreach, admissions, and enrollment objectives.

 

Department-Specific Responsibilities

  • Provides project expertise in executing student communication strategies. 
  • Builds and maintains admission reports, translates business requirements into solutions with functional CRM configuration based on knowledge of business processes, various university student systems, and their relationship to CRM tools. 
  • Defines, develops, maintains, and loads data from external and internal sources into our CRM systems. Structures and submits data to and from outside entities, conforming to unique specifications and requirements.  
  • Designs, implements, and aids with the conceptualization and construction of communication campaigns, event campaigns, admissions reporting, and recruitment strategies (translating functional needs into appropriate systems).  
  • Provides instructions and guidance to staff, plans work, provides feedback, and establishes timelines for team projects. 
  • Manages reviews of system features with functional staff and provide recommendations for improvements. 
  • Coordinates office training, documentation, communication, reporting, and support efforts with emphasis on execution of campaigns, timing, assessment, and improvement; serves as resource on functional questions from Enrollment Management offices. 
  • Utilizes data to make informed decisions and continuously improve communication strategies. 
  • Executes planned communications with prospective and admitted students across all student types. 
  • Works collaboratively with other CRM system users across the Division of Enrollment Management and university to ensure completeness and integrity of the system data.  
  • Creates step-by-step process testing scripts and perform detailed functional system testing, assists in resolution of issues, presents final test results, and obtains agreement and approval of system features and upgrades. 
  • Provides ongoing training for current and new admissions staff that focuses on maximizing knowledge, efficiencies, and abilities of the end users of Slate.
  • Acts as the liaison coordinating recruitment marketing and yield work with the schools.  
  • Manages the recruitment campaigns specific to each school, which will involve creating specific campaigns with the school, building and tracking them in Slate, and then coordinating follow up with the relevant recruiting staff (e.g., territory recruiters, discipline recruiters, campus visit coordinators, etc.) and school personnel (e.g., recruitment champion, faculty, etc.). 
  • Reports on the work and tracking the results to the enrollment manager to relay to the chancellor's and the president's offices.
  • Responsible for daily operations of the communications, recruitment, and marketing including reporting of enrollment information, report building, execution of outbound admissions communications, and the internal architecture for admissions events. 
  • Works carefully with the Communications Team to develop the blueprint for a comprehensive, highly segmented, and ongoing drip communication plan.
  • Participates in the design and implementation of an assessment plan to gauge the success of the student communication strategies, analyze system campaigns, and provide recommendations for improvement. 
  • Works with the Director of Data Strategies and Insights to create reports, dashboards, and analytical tools that direct the daily work of the recruitment team and monitor progress toward goals. 
  • Supervises the individuals responsible for executing the Slate campaigns and will be the primary Slate trainer for end users in the Undergraduate office of Admissions.  
  • Works collaboratively with the admissions operations team to acquire and maintain knowledge of numerous related students' systems (SIS, workflow, etc.) and Slate best practices. 

General Responsibilities

  • Independently creates basic and complex communications for print and e-distribution on behalf of department or large multi-faceted department and in support of departmental goals and objectives; communications may be interdepartmental; staff, faculty, or student-focused; or external.
  • Responds to inquiries and requests and explains policies, procedures, and context of communications.
  • Manages relationships with various internal and external stakeholders and creates communications coverage for relevant initiatives, events, and programs.
  • Prepares communications timelines and shares progress of communications toward relevant deadlines with manager, team members, and other relevant constituents.
  • Regularly monitors relevant social media and news sites; researches relevant subject matter to increase knowledge in area(s) of specialty.
  • Utilizes various communications software programs and delivers communications in multiple formats to a variety of audiences.
  • Monitors industry trends and best practices and makes process and operational recommendations to manager.
  • May provide guidance to lower-level Communications Generalists.

EDUCATION

Required

  • Bachelor's degree in communications, journalism, English, public relations, or related field. 

WORK EXPERIENCE

Required

  • 5 years in relevant field. 

Preferred

  • 2 years of CRM and/or marketing and communications experience in higher education, non-profit or related field.
  • Experience working successfully within a complex organization.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
