The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Associate Director for Development will report to the Executive Vice President for University Development and Alumni Relations (EVP) and the Assistant Vice President for Development and Chief of Staff (AVP/COS), working on key initiatives for major and principal gift prospects and donors to advance Columbia University. The Associate Director will assist with office operations, supporting the EVP and AVP/COS.

The Associate Director will handle details of a highly confidential and critical nature in a fast-paced professional environment and will be responsible for the organization of activities, operations, and planning to ensure the timely flow of information to and from the EVP and AVP/COS. The incumbent independently manages multiple tasks and projects with competing priorities and deadlines, screens and prioritizes communications, assesses potential opportunities from external and internal sources, and organizes and maintains administrative processes.


Responsibilities

Job responsibilities include, but not limited to, the following:

  • Initiating, leading, and managing a wide range of operational duties in support of, and at times in leadership of, the Office of the Executive Vice President, which includes managing extensive and complex projects with conflicting timeframes and deadlines.
  • Manage multiple and extensive calendars ??? planning and booking national and international travel, liaise with key stakeholders to execute on and off-campus meetings and events (with internal and external constituents), preparing agendas, and all related correspondences.
  • Collaborate with Alumni Relations and Development senior staff; interface with Trustees, donors, faculty, senior officers, and staff on a daily basis.
  • Facilitate the stewardship of principal gift prospects/donors for the Executive Vice President and the Executive Director for Development and Campaign Leadership.
  • Draft, edit, and proofread correspondences and presentations.
  • Provide project management support related to donor management and stewardship, and related duties as needed.
  • Manage data and generate reports from the Athena database, as well as manage entry of gift proposals and contact reports.
  • Assist staff in making decisions, serving as liaison between them and the EVP and AVP/COS.
  • Complete detailed expense reports and perform related duties as required.
  • Special projects, strategic initiatives, and related duties as assigned.

Minimum Qualifications

  • A bachelor's degree and four (4) years of related experience are required. Strong proficiency in Microsoft Office is required. The successful candidate must have strong attention to detail, the ability to work in a fast-paced environment and to juggle management of multiple projects, and maintain professionalism with all levels of donors, faculty, and staff.
  • Must demonstrate excellent verbal and written communication skills with a proven track record in a similar, high-energy environment. The successful candidate will also have strong interpersonal skills to work effectively with myriad constituencies, including administrators, faculty, donors, prospects, and volunteers; the ability to maintain strict confidentiality and congenial working relationships with others; a record as a strongly motivated self-starter with an ability to prioritize multiple projects and perform in a fast-paced office environment; excellent knowledge of management information systems and software programs, the integration of such programs with other donor based gift records/systems, and the ability to learn new systems quickly.

Preferred Qualifications

  • Executive-level administrative experience in a complex organization, with a strong preference for related experience in higher education.
