Job Summary:

The Associate Director, Enrollment, Non-JD Programs for the LLM and Master’s reports to and supports the Assistant Dean, Enrollment Management (“Assistant Dean”) and/or Director, LLM & Masters Programs (“Director”).
The Associate Director, Enrollment (Associate Director) is responsible for the marketing and communications, recruitment, admissions, and orientation programming for all non-JD programs.
The Associate Director supports all non-JD programs at the University of San Francisco including: Graduate Tax Program (LLM Taxation and Masters of Legal Studies Taxation), the Tax Research & Writing Certificate, international programs such as the LLM in Intellectual Property & Technology Law and the LLM in International Transactions & Comparative Law, and any other new degree, certificate, and mini-credential programs to be developed. This role will also actively promote and manage student enrollment in any non-JD partnerships, including the partnership with Andersen, and any new partnerships developed outside of the JD program.
The Associate Director’s primary focus (75%) will be on the Graduate Tax Programs.

Job Responsibilities :

The Associate Director is responsible for the following:

Enrollment and Budget:

  • Assist the Assistant Dean / Director in establishing enrollment goals and projections for each non-JD program by analyzing historical enrollment data, industry trends, program status, and competitive positioning.

  • Monitor key performance indicators (KPIs) against departmental goals.

  • Track enrollment progress against projections for all non-JD programs and generate and maintain enrollment reports for the Assistant Dean / Director and senior leadership team.

  • Work with the Senior Director of Administration to track departmental spending on admissions, marketing and communications, recruitment, and orientation and keeping expenses within budget.  Review variance reports and project year-end spending on enrollment related items.

  • Oversee  the departmental program assistant, to the extent that person is supporting enrollment efforts (likely 50% of program assistant’s time).

Recruitment & Marketing

  • Keep up to date with industry trends and best practices as they pertain to the recruitment and marketing of non-JD graduate programs.

  • Assist with the identification and creation of new student pipelines.

  • Assist in the development of a strategic recruitment and marketing plan under the guidance of the Assistant Dean / Director.

  • Take the lead in executing the strategic recruiting and marketing plan in collaboration with faculty, staff, and other essential stakeholders to achieve its objectives.

  • Coordinate and represent the programs at both in-person and online recruitment events, including by organizing webinars, panels, and other prospective student engagements. Travel as needed to other campuses, fairs,  and client offices.

  • Serve as the liaison between the non-JD programs and on-campus organizations, local professional associations, and industry-specific organizations.

  • Liaise with the Office of Marketing and Communications and work with the law school’s marketing strategist. Provide administrative support in execution of marketing and public relation strategy.

  • Create and execute social media strategy, email campaigns, digital advertising, and print campaigns.

  • Assist with the design and content creation of print marketing materials, digital ads,  and other marketing projects as directed by the Assistant Dean / Director.

  • Work with the Assistant Dean / Director to manage and oversee sponsorship opportunities.

Admissions  

  • Oversee the student application management systems, including creation of applications, forms, events, etc. related to student recruitment.

  • Oversee applicant records in Unite, Slate and Banner.  Manage the lifecycle of applicant records, including creation, updates, accuracy assurance, and annual closeout and ensuring that the department is in compliance with applicable standards, regulations and business processes (i.e. applicant retention policies).

  • Manage student inquiry processes to ensure high quality prospect experience during the admissions process.

  • Document processes and train staff on business processes around application management.

  • Manage the application process to ensure timely movement of the applicant through the enrollment process.

  • Serve on the admissions committees for non-J.D. programs and reviewing applications.

  • Prepare weekly applicant, admission and enrollment reports.

  • Collaborate with colleagues to co-create and implement tailored orientation programming for new students across different programs and modalities. This includes designing programming on various platforms, in various modalities (in-person, online synchronous, online asynchronous), coordinating schedules, collecting relevant information, and leveraging resources from other departments to ensure a comprehensive onboarding experience for non-jd students.

  • Coordinate communications with incoming students regarding financial aid opportunities, deadlines, and requirements, and collaborate closely with the financial aid office to facilitate a smooth transition into the enrollment process.

  • Act as the primary liaison between incoming international non-JD students and the International Student and Scholar Services (ISSS), facilitate communication, collect necessary documentation for I-20 processing, and ensure students are informed of all requirements and deadlines.

  • Manage scholarship reporting and serve as the point of contact for the university Financial Aid Office regarding all matters related to scholarships and financial aid for students enrolled in non-JD programs.

  • Oversee scholarship management for non-JD programs, including by providing allocation recommendations, track awards against projections, generate reports for departmental tracking, update student accounts with scholarship information, and assist with year-end reporting and analysis to optimize scholarship strategies.

For the Andersen Partnership and any new partnerships:

  • Assist in the creation of enrollment goals and projections for each partnership based on historical enrollment data, industry trends, program status, and competitive positioning.

  • Work closely with the Assistant Dean / Director to set deadlines for enrollment,  track enrollment, and prepare enrollment reports regarding partnership enrollment.

  • Assist in the design of marketing and communication for the partnership.

  • Manage  communications to prospective partnership students, working closely with the Law School’s marketing strategist.

  • Implement the partnership recruitment strategy, including in-person and virtual information sessions and recruitment activities in collaboration with the partnership liaison to promote the programs and attract prospective students.

  • Conduct interviews for applicants as necessary to assess their English language proficiency, and ensure accurate documentation of assessment outcomes.

  • Co-create an orientation program and schedule tailored to the partner’s needs that sets incoming partnership students up for success, including by designing programming on various platforms (i.e. Slate, Canvas) and in various modalities (in-person, online synchronous, online asynchronous) to coordinate schedules, collect relevant information, and leverage resources from other departments to ensure a comprehensive onboarding experience for students.

  • Establish and maintain a billing system and schedule for partnerships, collaborating with student accounts, the Associate Director, and the Registrar to ensure accurate billing under MOUs for partnership students and addressing any issues in partnership billing in conjunction with the partnership liaison.

Administration & Collaboration

  • Supervise the Program Assistant, when appropriate, including scheduling work assignments, determining work location and approving the program assistant’s time off.

  • Develop and maintain relationships with other Law School Departments and with outside organizations.

  • Collaborate with outside entities, including firms, courts, other governmental entities, and bar associations as references for prospects and for partnerships.

  • Work with non-JD colleagues to share information  on best practices, partnership opportunities, tips, etc.

  • Provide administrative and event support for programs and events, and partner as needed with others in the law school as well as outside organizations to successfully plan, coordinate, and execute co-sponsored events.

  • Work closely with all levels of the University community, as needed.

  • Perform other duties as assigned.

Minimum Requirements

  • Bachelor's degree required.  Juris Doctorate preferred.

  • Minimum 2-4 years direct or related experience. Experience working in a law school setting is desired; however, similar experience in another educational environment will be considered.

  • Experience and facility with data analysis, spreadsheet management, and presentation software.

  • Experience with the Google Suite of tools and with academic data management tools such as Unite, Slate, Canvas, Banner preferred.

Additional Skills, Knowledge and Abilities :

Requires knowledge of the policies and program goals to perform routine and non-routine assignments, carry out specific procedures that affect the accuracy and reliability of the non-JD programs, and be responsible for accurate and reliable record keeping and confidentiality.
