Job Summary:

Reporting to the Executive Senior Associate Athletics Director, Finance & Administration, the Associate Director of Athletics Administration will serve as the primary contact for the Department of Intercollegiate Athletics. This position is responsible for the administrative, operational, and financial support of the Athletics Department. The Associate Director of Athletics Administration will be responsible for knowing the rules that regulate NCAA Division I Athletics. The Associate Director of Athletics Administration will oversee the management of all personnel activities including, but not limited to hiring, on-boarding, position changes/upgrades, terminations/resignations, off-boarding, labor relations, University compensation guidelines, job descriptions, compliance, employment contracts, payroll, timekeeping, absence management, graduate externships, and student workers. The Associate Director of Athletics Administration will lead in the recruitment, hiring, and development of a diverse and inclusive Athletics Department committed to advancing the
priorities of Temple’s NCAA Division I Athletics Program.

The Associate Director of Athletics Administration is responsible for staying abreast of NCAA Division I trends, shifts, technologies, and best practices. Additionally, the Associate Director of Athletics Administration will look at all of Temple Athletics teams, sub-teams, and campus colleagues to develop integrated recruitment strategies and hiring plans that ensure effective collaboration. The Associate Director of Athletics Administration will perform other
related duties as assigned.

Essential Functions of Position:

  • Manage all administrative activities related to the Department of Intercollegiate Athletics staff (FT, PT, temp, graduate extern, student), including recruitment and hiring, new employee orientation and on-boarding, volunteers, professional development, culture assessment, and improvement and employee communications.
  • Act as a liaison between employees and managers when it comes to administrative issues.
  • Maintain and expand knowledge and understanding of existing and proposed federal and state Labor laws/regulations as well As NCAA I regulations.
  • Create and maintain database of all Athletics departmental job descriptions.
  • Collaborate with University HR Business Partners on HR services, including recruitment, compensation, promotions, transfers, contract negotiation, affirmative action/EEO, compliance, job classification, PDP’s, and employee relations in accordance.

Recruitment:

  • Collaborate with HR Talent Acquisition Specialists to initiate, manage, and track all recruiting and hiring, focusing on timely execution, and providing guidance for process improvements.
  • Collaborate with HR Talent Acquisition Specialists to develop and execute plans to strengthen the diversity of our applicant pool, job candidates and hires.
  • Work in collaboration with University HR Business Partners, and Talent Acquisition Specialists to lead recruitment strategy, preparing job advertisements, screening applications, and participating in the selection process.
  • Create staff requisitions in the University’s applicant tracking system for approval by Executive Senior Associate AD and HR Business Partner.
  • Continuously expand knowledge of employee retention and training trends and best practices – both in higher education and outside the industry - and identify opportunities for improvement.

Compliance:

  • Work with University Compliance to ensure staff who require various applicable federal, state, and local clearances have them.
  • Work with University Compliance to ensure staff who are required to possess the PA Child Abuse Clearance, possess this, and are cleared to work with children by the State, before they begin their first day of work.
  • Work with University HR Compliance to ensure all employees who operate university vehicles have passed required motor vehicle check.
  • Work with University HR Compliance to ensure all employees who have financial responsibility for the department have passed required financial background.
  • Ensure all required criminal background checks have been completed and staff are cleared to work before their first day of work.
  • Ensure all NCAA requirements for staff are met before their first day of work.
  • Ensure all required employment requirements including finger printing background checks, drug testing, physicals, I-9 documents and/or any other compliance related items are completed within legal specified time limits.

Employment Services:

  • Establish, maintain, and control recruitment records, job descriptions, employment contracts, organization charts and other relevant documentation.
  • Develop, administer, monitor, and continuously improve new hire onboarding and orientation as well as offboarding procedures.
  • Collaborate with University HR Business partners to interpret, assist, and advise employees and managers regarding leave management and benefit administration, and HR procedures and policies within University guidelines.
  • Manage sensitive and confidential matters including employee relations, organization changes, and protect the security of information, data, and files.
  • Process personnel transactions in the University’s E-Systems; including, but not limited to EPAF, organization, hierarchy changes, position control management, EDCF, one-time payment, payroll adjustment, etc.
  • Ensure all aspects of payroll and absence management are accurately captured and tracked in relevant University systems, specifically Banner and Kronos, and adhere to all related University policies and related regulations.
  • Manage Department annual compensation budget.

Training and Development:

  • Lead collaborative efforts to develop and track professional development for the department, teams, and individuals with a focus on advancing skills and building individual and collective diversity, equity, and inclusion lens.
  • Advise and assist on performance development planning. 

Culture Assessment and Improvement:

  • Manage comprehensive culture assessment, including the development and execution of
    assessment plans.
  • Evaluate assessment results, recommend solutions, and oversee continuous improvement.

Financial Management:

  • Assist with financial and governmental reporting.
  • Assist in areas including purchasing, invoicing, and other administrative functions.
  • Assist with internal controls and ensuring compliance with policies and procedures within
    the business office.
  • Assist with budget management, forecasting, and planning.

Required Education & Experience:

Bachelor’s degree in Business Administration, Human Resource Management, Sports Management, Finance, or related field and at least 4 or more years of experience in athletics administration and/or human resources management, recruitment and hiring, and diversity equity and inclusion. An equivalent combination of
experience and education will be considered.

  • Strong interpersonal, oral, and written communication skills.
  • Demonstrated proficiency in Microsoft Office.
  • Ability to work flexible hours, including evenings and weekends.
  • Strong integrity and character who shares a commitment for knowing and complying with NCAA, Conference and University
    rules.
