Position Summary
Reporting to the Director of Admissions, the Associate Director of Admissions provides supplemental oversight of the operations and management of the Office of Admissions and upholds the vision of the Director of the Office in implementing all activities and tasks, including direct supervision to support staff in the Office of Admission. The position is responsible for development, implementation, transition, and maintenance of the College’s Customer Relations Management System (CRM) system. The Associate Director assists in off-campus recruitment, and on-campus programs for prospective students. In absence of the Director, the Associate Director serves as ‘administrator in charge’ for daily operations and resolution of department issues as designated.
Description of Duties
Manage Customer Relations Management System (CRM).
  • Oversee development, implementation, transition, and maintenance of CRM system.
  • Serve as liaison to internal college units (Information Technology, Marketing and Communications, Advisement, and One Stop) and vendors in setting up proper reporting and communication modules.
  • Collaborate regularly with the Director in establishing comprehensive communications plan.
  • Provide training to staff and CRM users.

Supervision of Support Staff Members
  • In collaboration with the Director, hire and train support staff in the Office of Admissions.
  • Provide direct supervision, management, and direction to support staff in the Office of Admissions.
  • Maintain a schedule for support staff hours, especially during peak times, which supports the department’s goals and needs.
  • Foster a supportive workplace environment that respects differences and encourages personal development, self-reflection, and continuous learning and improvement.
  • Demonstrate role modeling, ethical decision-making, cultural competence, strategic management, fiscal responsibility, and effective leadership through all actions and communications.

Assist Director in development, coordination, and implementation of recruitment programs targeted to students from underrepresented populations, business and industry personnel, military and adults returning to College.
  • Utilizing data from both Planning and Institutional Effectiveness and the CRM, implement recruitment activities targeted to specific populations.
  • Collaborate with internal constituents to develop a strategic blueprint and model for ensuring Brookdale’s wide-ranging presence in the community.
  • Ensure an active, effective and updated online presence for recruitment purposes through social media, web, and other electronic/digital media. Collaborate with other college departments and vendors in this process.

Conversion Outreach
  • In conjunction with the Director, establish and coordinate plan for outreach to admitted students for the purpose of securing enrollment.
  • Collaborate with other campus constituents on student outreach to ensure consistency and non-redundancy.

Provide on-going Assessment of Admissions Activities.
  • Develop both qualitative and quantitative measures of assessment for internal and external programs.
  • Collaborate with Director on implementation of potential changes to Admissions functions based on assessment review.

Develop and maintain a comprehensive Student Ambassador and Campus Tour program for the Office of Admissions.
  • Supervise Student Ambassadors who work in the Office of Admissions.
  • Maintain a schedule for Student Ambassador hours, which supports the department’s goals and needs.
  • In collaboration with the Student Life and Activities Office and the Career Center, develop and execute the yearly Student Ambassador Leadership Institute (SALI) program for Student Ambassadors.
  • Review current tour framework to determine efficiency.
  • Collaborate with Academic Institutes and Higher Education Centers in maintaining consistency of messages and information to prospective students.
Minimum Qualifications
Education:
  • Bachelor’s Degree required. Master’s Degree preferred.

Experience:
  • Three years of related experience in post-secondary student services, to include at least one year in a supervisory capacity.
  • Experience with integrated student records database required (Colleague Preferred).
  • Experience with customer relations management systems required.

  • Strong interpersonal and organizational skills with the ability to develop working relationships with students and all staff.
  • Strong communication skills, including the ability to bridge functional and technical topics by communicating effectively with individuals of varying technology expertise and across all levels of the College.
  • Must be computer literate with the ability to utilize Microsoft Office at an intermediate level and with ability to learn and utilize specializes programs and systems, including implementation of and enhancements to the CRM.
  • Detailed knowledge of applicable Federal and State regulations.
  • Ability to travel locally and to other sites.
  • Valid driver’s license is required.
  • Fluency in a second language preferred.
Preferred Qualifications & Special Considerations
Knowledge of Monmouth County and its communities.
Occasional evening and weekend work and local travel maybe required.
