Position Focus:

Under the general direction of the Communications Officer, this position will coordinate and assist in developing the graphic and electronic presentation materials for university approval meetings, studies and reports for Yale Facilities projects. Responsible for the maintenance of options for enhanced website layout, content, and user interface for all Facilities websites, as well as supporting the distribution of targeted communications for Facilities department specific initiatives.

Supports the organization of project and department meetings with the Vice President of Facilities, Campus Development, and Sustainability; University Architect; AVP’s; directors, planners, and project managers to assess upcoming presentation and communication requirements.

Supports the design, preparation, printing, and distribution of mailings for the Corporation presentation packets and Yale Facilities communications (newsletters, department-specific communications, website improvements, etc.).

Coordinates with Capital Finance and Budget Office staff to ensure consistent project financial reporting/tracking and coordinates the creation of Memoranda of Understanding (MOU). Maintains the electronic archive system for MOUs and similar project approval documents.

Assists with the creation, design, and maintenance of electronic databases for planning studies, tracking reports, and data from a variety of other sources such as cost metrics and benchmarking. Assists with interpretation of data and development of graphs, charts, analyses, and schedules to be used in presentations at all levels of the university.

Supports the development and coordinates digital imagery to be included in Yale Facilities presentations to high-level review committees, including electronic slideshows and hard copy texts, graphics, and photographs. Coordinates consultant photographers or personally photographs buildings/sites. Edits photos for presentations and other communications purposes. Reviews and selects imagery appropriate to convey specific project narratives in alignment with the university’s brand and licensing guidelines. Coordinates the timely receipt of materials and reviews all materials for graphic/digital compatibility when incorporating into master Yale presentations formats.

Supports the distribution of this material to Yale and non-Yale stakeholders.

Supports the design and maintains the graphical identity and standards of Yale Facilities with materials available for use by all Facilities departments. Develops and coordinates content to promote Yale Facilities activities and initiatives both internally within Facilities departments, and externally within the university community.
Assists in the maintenance of institutional relationships at Yale and related partnerships with contractors, consultants, and media where required.

Supports the collection process and distribution of Yale Facilities-related media mentions, field requests for media placements in Yale and non-Yale communications/editorial products. Offers consultation to colleagues identified as spokesperson(s) for media requests.
In partnership with the Communications Officer, guides the projects and efforts of student interns, as needed.

Essential Duties

1.  Develops and manages forward-looking strategic communications with video and social media to enhance Yale’s reputation and communicate Yale’s messages. 2.  Produces multimedia content. Identify topics with compelling visual and audio elements to create stories that exploit those qualities, using video, podcasts, infographics, slideshows and other media as appropriate. 3.  Works with communications colleagues throughout the school and university to highlight the work of researchers, create a high profile presence, and reach new audiences. 4.  Builds relationships with faculty, administrators, departments and students and maintains contact with communications professionals and monitors trending news topics. 5. Conceptualizes and writes creative posts across all social media platforms, including Facebook, Twitter, LinkedIn, YouTube, and other accounts. 6.  Participates in regular editorial/content meetings. Propose story ideas to senior leadership. 7.  Regularly attends scientific talks on diverse topics to stay up-to-date on research trends at Yale and beyond.


Required Education and Experience

Bachelor's degree and minimum of two years of experience in writing, social media, digital journalism (e.g., video, audio blogging, etc.) or an equivalent combination of education and experience.


Required Skill/Ability 1:

Advanced MS Excel, Word, and PowerPoint Presentation skills. High proficiency in creation and manipulation of presentation materials. Experience in Adobe suite of Creative Cloud-based software and document management.


Required Skill/Ability 2:

Direct experience in Photoshop manipulation of digital imagery. Site photography experience with ability to use Digital SLR and Digital Video (GOPRO) cameras for moving imagery. Proficiency in document management of imagery and file management.


Required Skill/Ability 3:

Excellent oral, writing, and proof-reading skills including the ability to write and format program documents. Ability to set up and train others to operate electronic audio/visual presentation equipment including video projectors and connected computers.


Required Skill/Ability 4:

Strong organizational and interpersonal skills. Well-developed strategic thinking and tactical skills and the ability to solve problems. Ability to work independently and collaboratively within a team structure.


Required Skill/Ability 5:

Ability to manage multiple tasks and competing priorities, evaluate changing needs and meet strict high-level deadlines.


Preferred Education, Experience and Skills:

Five years’ experience in communication and marketing, and familiarity with architectural, facilities, engineering, and/or construction processes. Experience with web content management framework such as Drupal. Experience in email marketing tools such as Salesforce. Experience with analytics tools such as Google Analytics and Siteimprove. Experience with media tracking tools such as Cision.
