Job Description:

The Assistant to the Dean of the Dance Division serves as the administrative assistant to the Dean of Dance and liaises frequently with students, faculty, and staff as the primary administrative point person in the Division. Working in collaboration with the Dean and Division Chair, the Assistant to the Dean implements and facilitates administrative functions of the Division and supervises student office workers.
They administer and coordinate programs, services and activities for a broad and diverse area, are responsible for the scheduling of all Division classes, rehearsals and activities (including the Dean’s), manage agenda, minutes and materials for meetings involving leadership/committees, and function as a highly visible administrator with a wide ranging external interface.
This administrative support includes monitoring the operations, budget, and logistics of the Dance Division. This position also provides budgetary support to the Dean, funding and expense reconciliations, connects programs to appropriate resources within the institution, and provides general suppor

ESSENTIAL FUNCTIONS/PRIMARY DUTIES AND RESPONSIBILITIES:

  • Serve as primary administrative point person in the Division; operates as a central information contact for faculty and students

  • Collaborate with the Dean on the allocation of Dance Division resources to support the needs and goals of the Division

  • Monitor administrative and logistical operations of the Dance Division and identify opportunities for process improvements

  • Work with faculty to schedule classes, rehearsals and studios each semester

  • Demonstrated commitment to supporting a diverse workplace with a multicultural student body

  • Support division performances, both MainStage and studio, with programming, costuming, auditions, casting, and scheduling

  • Manages agenda, minutes and materials for meetings involving leadership/committees. Highly visible administrator role with a collaborative external interface. 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: 

  • Demonstrated ability to exercise considerable judgment, discretion, and diplomacy

  • Employ creative problem solving and critical thinking skills to identify and deploy process improvements and efficiencies

  • Collaborative working style and the ability to develop and maintain strong relationships across a variety of functional areas with colleagues of all levels and capable of demonstrating interpersonal astuteness, tact, diplomacy and advanced communication and presentation skills

  • Demonstrated capacity to develop & foster effective working relationships with individuals & organizations reflecting a broad range of diverse identities, backgrounds, cultures, perspectives & experiences

  • Excellent organizational skills, attention to detail, ability to work under pressure; self-motivation, high energy and engagement and a positive attitude

  • High proficiency with the Google Suite and Microsoft Office Suite, demonstrated ability to employ multiple systems in the tracking, modeling and analysis of financial information

  • Possesses training, troubleshooting and leadership/facilitations skills.

  • Demonstrated ability to learn new technology tools needed to support the Division; Workday, Colleague, and PowerCampus experience is a plus

  • Possesses basic budget management and financial analysis skills

SUPERVISORY RESPONSIBILITIES: 

Supervises 2-3 student workers
