Job Summary

The Office of the Registrar models the highest standards in providing exemplary service to the Institute community and constituents, while ensuring accuracy, integrity, and confidentiality of academic records. The Assistant Registrar oversees the archiving of academic records. They will collaborate with the Registrar in data evaluation and processing that related to records and graduation for all students.

They will support the integrity of curriculum by enforcing course and program requirements and all associated policies and deadlines. This position requires the ability to make independent and appropriate decisions in relation to requests for exceptions.

Essential Job Duties

  • Evaluates and enters overrides for degree requirements such as course substitutions and waivers for both undergraduate and graduate students.
  • Assists in answering academic questions to both students and advisors.
  • Oversees the onboarding new matriculant students each year and ensures patent agreements and other required forms and transcripts are collected for all new students.
  • Oversees the non-degree student account creations.
  • Coordinates the transfer credit evaluations and entering into system.
  • Processes updates for the Graduate Studies Office and Undergraduate Deans’ Office related to underloads, overloads, leaves, withdrawals, and other exceptions and petitions.
  • Oversees the creation of the First-Year student schedules.
  • Oversee office’s forms and upgrades from PDF to online forms and workflows.
  • Manage room reservations for 8-10 classrooms.
  • Assist with Commencement including making updates for graduation candidates.
  • Performs other duties as assigned.

Basic Qualifications

  • Bachelor’s degree
  • 3-5 years of directly relevant experience and progressive responsibility
  • Excellent facility in using Microsoft Office Suite, including Word and Excel, and ability to use related office equipment.
  • Ability to handle sensitive information and maintain confidentiality, Working knowledge of FERPA.
  • Ability to communicate and effectively interact with people across cultures and worldviews, both individually and as part of a team, and to respond effectively to sensitive inquiries or complaints.
  • Success managing multiple priorities under tight deadlines, establishing goals and priorities, and demonstrating personal initiative working without close supervision.
  • Professional written and oral communication skills. Ability to effectively present information to a wide range of constituents.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

Preferred Qualifications

  • Master’s degree.
  • 3-5 years of experience and progressive responsibility within a registrar office.
