Position Summary:

The Assistant Registrar is responsible for the audit of degree plans, the verification the accuracy of data input into the student academic record, and the implementation of registration processes. This position is governed by state and federal laws and institution policy.

Essential Duties and Responsibilities:

Safeguards confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA).

Obtains and processes degree audits via Degree Works and paper check sheets within student folders located in the office file room.

Assists with the process for awarding of certificate and associate cohort degrees each semester and serve as the main point of contact for questions or concerns from students.

Notifies advisors and students of graduation deficiencies while reviewing student folders to monitor completion of degree requirements.

Notifies advisors and students of GPA requirements and grades needed in courses in order to meet degree requirements.

Updates printed graduate problems list within office.

Updates student file folders by placing copies of emails, adding written notes from conversations with students/advisors, processing of change of majors/minors, reflecting name changes, updating paperwork to reflect substitutions submitted, as well as any other essential paperwork.

Evaluates student transfer credits and determines if any duplicate credit should be removed.

Counsels with advisors and students via phone, in person, and email to assist with reaching their desired objectives.

Point of contact for advisors, staff, and students to answer questions regarding degree requirements, policies and procedures, and commencement information.

Process replacement diploma requests by charging fee to student's account, printing diploma, and prepare diploma for mailing.

Assists in the development of registration procedures and implements processes.

Verifies academic standing and honors eligibility.

Completes degree check out process and awarding of degrees at the end of each term. Communicates with students and their advisors in the event requirements are not met and anticipated graduation date is updated.

Assists with commencement ceremony setup and execution of events.

Ensures proper maintenance of students' electronic records and conducts audits for quality assurance.

Monitors and responds to email requests sent to [email protected].

Verifies accreditation of schools and universities.

Performs data entry into complex databases, systems and websites, keying in information and developing queries to gather information and reports. Corrects and updates data as needed.

Provides training and guidance to the Registrar staff by establishing work plans, timeframes and/or deadlines, providing general instructions, and reviewing the work performed to ensure technical accuracy and compliance with instructions or established policies and procedures.

Print and provide documentation on office letterhead to verify degree completion for graduates.

Assists with proofing degree requirements listed in the catalog.

Oversees the process for awarding associate cohort degrees each semester and serve as the main point of contact for questions or concerns from students.

Attend and participate in bi-weekly staff meetings.

Performs other duties as assigned.

Knowledge, Skills, and Abilities:

Knowledge of computers and software application programs.

Knowledge of database management and basic accounting principles.

Knowledge of registration processes.

Ability to conduct research and perform basic quantitative quality assurance reviews.

Ability to plan, organize, and coordinate activities, resources, and materials associated with the needs of the department or program.

Ability to counsel students and families.

Minimum Requirements:

The formal education equivalent of a bachelor’s degree in business administration or a related field; plus one year of experience in higher education administration.

Preferred Qualifications:

Experience in University Registrar's Office or like environment

Project management experience

Customer service experience

Technology experience

Microsoft Office Excel and Word

Ellucian Banner system or other student information system

Degree Works or like degree audit system, email, telephone skills, and scanning documents.
