The College of Arts and Sciences is seeking an experienced Assistant Finance Officer. This position is a professional-level position that will work with leadership across the College of Arts & Sciences to effectively manage financial resources for multiple departments.

HERE IS WHAT YOU WILL DO

The ideal candidate for this position performs budgetary analyses for departments to assist with budget planning, allocations, and expenditures. In this role, the Assistant Finance Officer will report directly to the College Finance Officer and perform financial analysis to support more effective budget building, maintenance, and close-outs for the college.

The essential duties and responsibilities of the Assistant Finance Officer are the following:

  • Coordinate the daily activities and workflow of multiple departments, divisions, or work units.
  • Oversee the setting up of account appropriations and ensure funds and expenses are in accordance with university and grants and contracts guidelines.
  • Oversee the financial management of accounts (State, DS&S / Quasi, residual/indirect, buyouts, and sponsor budgets).
  • Provide financial information and advice to faculty on their accounts; answer questions relating to budget procedures.
  • Approve all payroll MSS transactions with budgetary line items for multiple departments.
  • Manage the processing of all payroll actions with the HR coordinator(s); enter Maymester and Summer payroll.
  • Monitor Panthermart transactions with budgetary line items.
  • Monitor expenditure levels against budgets and funding obligations; develop plans to resolve budget shortfalls.
  • Advise Department Chairs and Directors regarding financial matters.
  • Participate in and support strategic planning activities.
  • Manage the financial affairs of multiple departments.
  • Liaison with Research Admin Officers to ensure accurate communication with funding agencies/sponsors, inter-departmental managers, agencies, and other external organizations.
  • Monitor funding sources and prepare annual budgets; submit budget amendments as needed.
  • Monitor the faculty and staff recruitment/hiring process to ensure budgets and expenditures are reflected accurately.
  • Guide faculty/staff in preparing, negotiating, and implementing sub-agreements, subcontracts, and consultant agreements with individuals and organizations.
  • Perform other duties as assigned.

Qualifications

Minimum Requirements:

  • Bachelor's degree and three years of budgetary experience or a combination of education and experience.

Preferred Hiring Qualifications:

  • Accounting and Finance, as well as sponsored research.
