Job Summary:

The Assistant Director (AD) of Student Employment (SE), under the supervision of the Associate Director of Compliance and Training, supports the Office of Financial Aid and students by overseeing the management of Student Employment (Federal Work-Study (FWS) program and institutional-funded employment). The AD is the lead professional responsible for coordinating with on- and off-campus partners to ensure compliance with University policies and federal financial aid and state employment law. In partnership with the Associate Director of Compliance and Training and Director of Financial Aid, the AD will serve as a point of contact for escalated student issues and training related to Student Employment to ensure the delivery of the highest quality student service and experience. The AD will coordinate special projects, identify large-scale issues, and provide strategies for their resolution. In collaboration with Associate Director of Compliance and Training, the AD will also coordinate workflow organization, develop, monitor, and enhance interdepartmental processes, and update SEO policies and procedures.

Full Job Description:

● Manages the day-to-day operations of the Student Employment Office and the Student Employment & Financial Aid Counselor
● Directs, oversees, and trains reporting student employee(s), leading and managing an efficient workflow.
● Conducts employment eligibility, I-9, and related onboarding process for all student employees, ensuring compliance with all applicable regulations. Implement systematic and procedural enhancements to ensure satisfaction and efficiency of student employment campus-wide.
● Serves as the primary contact for student employment eligibility and support on and off-campus constituents.
● Support and assist students with onboarding processes in WorkDay
● Coordinate and attend WorkDay multi-team meetings with campus-wide system administrators
● Oversees, recommends, and implements enhancements for all system operations regarding student employment.
● Attend WASEA and HR-sponsored trainings to stay abreast of HR and labor law regulations to maintain compliance
● Utilize WorkDay Community as a system administrator resource
● Ideates and executes maintenance of all WorkDay and Elluican Banner ERP setup for students, including business process and approval workflows, communications, and system integrations.
● Creates, implements, and manages supervisor training campus-wide to ensure compliance with federal and state employment laws and University policy
● Identifies and resolves system discrepancies related to Student Employment and FWS in WorkDay and Elluican Banner ERP to ensure compliance.
● Reviews and approves student job descriptions, classifications, and salary ranges in effort to assure equity and parity across the University.
● Manages recurring audits of student job postings, including notifications of employment decisions, to ensure a current and accurate job search for all students.
● Manages the regular audit of Student Employment Office records to maintain compliance with applicable federal financial aid and state employment law regulations.
● Write student communication and collaborate with SEM Enrollment Communications and OMC to plan for effective student outreach.
● Manages and updates Student Employment policies, procedures, and processes, including Compensation policy, to increase efficiency, clarity, and compliance in the Student Employment process.
● Collaborates with the University’s McCarthy Center on Community Service employment to support compliance with all regulations and the provision of an effective and efficient program.
● Ensures completion and compliance of weekly I-9 audits.
● Conducts monthly reconciliation of all Federal Work-Study related spending in collaboration with Payroll and Accounting and Business Services.
● Maintains and provides a monthly audit and report of FWS Slot Analysis to the AVP of Student Financial Services and Director of Financial Aid. Provides recommendations for slot adjustments as needed.
● Negotiates and monitors all off-campus contracts, and serves as the main contact for Off-Campus Agency representatives. Trains off-campus partners in student employment management within WorkDay.
● Designs, develops, and creates all print, electronic, and web-based materials and content related to student employment, including forms, newsletters and manuals, and all agreements mandated by federal, state, and local regulations.
● Manages the continual development and maintenance of the Student Employment website.
● Assists in presenting workshops and other financial aid outreach for student employees and campus partners.
● Fosters a spirit of teamwork and unity within the office and among SEM and University colleagues.
● Supervises the Student Employment & Financial Aid Counselor and the Student Ambassadors for Student Employment, including: training, assigning, directing work, evaluating performance, addressing complaints, and resolving problems.
● Work closely with campus partners and outside constituencies for student resolution.
● Analyze current business process workflow for students in WorkDay, identify/research possible solutions/enhancements, test for successful implementation, assist IT in final implementation.
● Run internal audits, and coach staff on all quality assurance findings
● Counsel and advise students and parents on financial aid processes/eligibility.
● Serves as primary contact and data manager for third-party processor of Verifications of Employment for students.
● Manages USF Service Now tickets assigned to HR Student Employment for WorkDay and other student technical issues.
● Other duties as assigned.
