Position Summary
The Assistant Director of Admissions Processing is primarily responsible for the coordination of processing and computer systems areas within the Main Campus Admissions Office. This position is a key functional/technical super-user that serves the UIW community in a collaborative system of understanding student information systems and participates in project testing, reporting, system training, and troubleshooting as well as resolution determination for said community. This position oversees a team of processing specialists and reports to the Director of Admissions and Parent and Family Engagement.

  • Supervise data processing team.
  • Oversee data entry system and application business process and resolve technical issues; identify areas of improvement.
  • Ensure document processing is timely and benchmarks are met.

Description of Job Duties
  • Maintain admissions applications and integrity of data entered into database, adjust CRM and Banner integration data, maintain custom import maps, perform imports into CRM and Banner, and solve system issues.
  • Submit tickets, work with support analysts in troubleshooting and resolution; keep department and community informed on important system changes or information.
  • Coordinate special projects dedicated to improving system performance, business process efficiencies, and technology supported processes to implement admissions strategies.
Job Duty Name Reporting and Business Process Management
Description of Job Duties
  • Analyze and interpret student data and identify improvements for the student experience through the application process.
  • Develop processes to avoid duplication of student records and work with other University departments to resolve issues related to duplicated student records.
  • Provide data reports of students in various enrollment funnels to the Director.
  • Pull student reports from various vendors utilized in enrollment management for administration.
  • Assess, adjust and implement business practices to ensure alignment with standard operation procedures and policies.
  • Identify timeline of student application cycle and implement processes for improvement during peak periods.
  • Facilitate change management on behalf of the department.

Description of Job Duties
  • Work with Enterprise Applications on Banner and Ellucian Recruit related improvement projects, upgrades, and testing.
  • Work with Institutional Research on all data quality projects, ensure data entry is accurate, and convey IR standards to Admissions that assist in better decision making for processing.
  • Work with Extended Academic Programs and International Admissions on all admissions related projects.
  • Work with Advising and Registrar on any matter concerning a student record or processing.
  • Provide list validation for third party vendors.
  • Collaborate with other departments as necessary.
Job Duty Name System Access and Training
Description of Job Duties
  • Review and approve Banner access requests that involve Admissions-owned data screens.
  • Provide Banner training to new users and refresher training to existing users as needed.

  • Support the Office of Admissions in all other aspects of the student recruitment cycle.
  • Develop or contribute to recruitment strategies.

Required Education
Bachelor’s Degree.
Required Work Experience
  • Two (2) years of relevant professional experience in an office setting working with student information systems in higher education.
  • One (1) year of experience in data operations and reporting.
  • One (1) year of experience supervising or leading teams in projects.
Preferred Qualifications
  • Master’s Degree or current enrollment in Master’s or higher program in relevant field.
  • Bilingual (Spanish).
  • Two (2) years of experience supervising or leading teams in projects.
  • Two (2) years of experience in student information systems data operations and reporting.

Work Hours
Monday through Friday, 8 am to 5pm. Some evenings and weekend required. Occasional conference travel may be required.
