JOB DESCRIPTION AND POSITION REQUIREMENTS:

Housing Operations, a division of Auxiliary & Business Services (A&BS), is excited to welcome candidates for the position of Assistant Director. This position supports the vision and mission of the housing operations by overseeing the daily management of a housing area including direction of staff and initiation of all related actions to ensure effective operations, efficient use of appropriate resources, and a focus on excellence in Custodial, Maintenance, Service, Safety, and Teamwork. Working with a diverse workforce, deliver a well-maintained, clean, safe, and secure living experience for students and guests, overseeing an operational area supporting at least 4 staff, 40 technical service employees in a variety of housing options for over 4,000 students with an annual operating budget of near $1 million. We believe in the value of respect and as an incoming team member of Auxiliary and Business Services, it will be expected that all employees embody and model Penn State’s and Finance and Business’ commitment to diversity, equity, and inclusion.

The successful candidate will be responsible for the following:

  • Direct daily activities of staff and technical service employees to ensure best operational practices are followed in an effective manner and in accordance with accepted housekeeping and maintenance standards. Ensure safe working conditions are maintained in the area. Direct the formulation of plans and establishment of daily work schedules for employees. Direct staff in the planning and scheduling of work during peak time periods such as Semester Break, Spring Break, and Summer.

  • Inspect residential areas and observe employee performance to insure conformity with standards and practices. Correct deviations through the appropriate supervisory staff. Oversee the coordination of housekeeping practices and preventive maintenance programs. Consult with staff to propose methods for improvement. Keep abreast of current developments in higher education and campus housing. Investigate, formulate, and implement new technical, cleaning, and maintenance procedures, products and equipment allowing more cost-effective use of resources.

  • Identify maintenance issues, initiate projects and work request and oversee implementation of corrective action by internal maintenance staff and contractors. Recommend major maintenance projects and purchases. Participate in planning phases of renovation of facilities. Participate in construction job meetings and serve as liaison during projects, while representing housing needs.

  • Oversee and conduct annual performance evaluations for all staff and technical service employees in the area. Counsel employees on job performance, discipline, grievances, accident reports, incident reports and related matters. 

  • Maintain proper standards for safety and accident prevention. Complete regular safety inspections of operational areas. Coordinate investigations of accidents, initiate and direct corrective action, and provide safety reports to ABS unit on a regular basis. Monitor life safety and security systems to ensure effective operation. Liaison with University Police, as necessary.

  • Review, analyze, and prepare annual operating budgets. Monitor monthly operating statements to ensure fulfillment of budgetary goals and established projections.

  • As a designated Essential Employee, prepare for and respond to critical incidents to ensure continuity of operations for housing residents and guests. Assume on call responsibilities and work, as assigned, for a residential housing area in the evenings, nights, weekends, break periods and holidays. This is an 100% on-site position; telecommuting is not typical.

It is essential that the candidate have excellent written and verbal communication skills, the ability to use good judgment when dealing with sensitive and confidential information, be able to manage multiple tasks and deadlines, and demonstrate a genuine appreciation working with diverse audiences in a team environment. The successful candidate must have excellent skills utilizing Microsoft Office (O365) programs such as Word, Excel, and PowerPoint.

EDUCATION & EXPERIENCE

Minimum of a bachelor's degree plus six (6) years of relevant experience. Or, an equivalent combination of education and experience.

Bachelor’s Degree or higher in a hospitality or business-related discipline

APPA credential of Educational Facilities Professional (EFP) or Certified Educational Facilities Professional (CEFP) is preferred but not required.

The pay range for this position, including all possible grades is:

$46,400.00 - $67,300.00
