What we want   


The Assistant Director, under general direction, assists Medicine’s advancement and administration officein all aspects of operations and maintains responsibility for major projects with the office of the dean. The Assistant Director will assist with operations and strategic initiatives, collaborating with the dean and the chief of staff.

What you need to know


Salary: Compensation will be commensurate to the selected hire’s experience.  


Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience

  • Six years of related experience in administration, education or higher education

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Effective verbal and written communication skills, including public speaking

  • Strong interpersonal, leadership, problem solving, and organizational skills

  • Maintains attention to detail and utilizes sound judgment

  • Ability to multitask and work cooperatively with others

Other Requirements and Factors:

  • Ability to travel as needed; occasional evening and weekend work required

Preferred Qualifications:

  • Ability to prioritize objectives with a high level of discretion and independent judgement and initiative

  • Experience with engaging, and building collaborative relationships with, participant groups

  • Experience working in higher education in executive offices

  • Experience in marketing and communications  

  • Event and outreach program planning experience

  • Excellent organizational and project management skills

  • Master’s in applicable field

Responsibilities:

Administration

  • Serves on management team with the Director. Represents the dean's office, division, or University on various committees.

  • Participates in developing strategic plans based on office and unit goals.

  • Plans budget for projects(s) under their supervision and assists in planning and budgeting for the office.

  • Participates in planning, directing, and coordinating operational or procedural matters to meet office

  • goals and objectives, including space and facilities as needed.

  • Oversees SharePoint and onboarding pages for the School of Medicine

  • Tracks key metrics and projects for advancement and dean’s office.

  • Monitors compliance with all unit, office, University, and government standards, policies, and

  • procedures.

  • Develops reports, analyses, and surveys as requested by Director.

Advancement

  • Assists with management of alumni and donor stewardship programs

  • Serves as lead to investigate and create methods for building and maintaining comprehensive alumni records to increase alumni database

  • Oversees School of Medicine sponsorships

  • Works to develop outreach and stewardship programs


Project Management

  • Serves as lead for, in coordination with the Director, special projects as requested for the Office of the Dean, School of Medicine, and University-wide initiatives

  • Ensures appropriate marketing and communications efforts for the office of the dean, including internal communications, drafting initial presentations, scripts and serving as a liaison to the marketing and communications team


Leadership and Support

  • Provides leadership for office along with and in absence of the Director.

  • Provides supervision and guidance to a team or office sub-unit(s)

  • Performs other duties as assigned.
