Position Summary/Purpose of Position:
The Assistant Director plans and manages significant aspects of the business and financial activities of ESSIC. The incumbent reports to the Director, Finance and Administration (DFA) and will represent the ESSIC Business Office as necessary.
The Assistant Director is responsible for supervising all research activities including pre-award and post-award management, providing research leadership by promoting and facilitating leading-edge research opportunities, and managing departmental operations such as procurement, financial processing, research related payroll activities, travel approvals and inventory management. Will work closely with DFA on overseeing the budget for ESSIC.
Responsibilities:
Manage ESSIC department business processes and improvements, including internal policies and procedures, ensuring alignment with strategic goals, operational excellence, efficiency, consistency and compliance.
• Preparing, communicating and presenting critical financial matters to the DFA and ESSIC Director
• Maintain grants and contracts in good standing.
• Coordinate all accounting records in sponsored awards.
• Primary reference pertaining to federal regulations and other campus corporate services in support of sponsored programs.
• Oversee the budget for, and implications of contracts and grants between ESSIC and government agencies, such as NASA, NSF, USDA and NOAA.
• Establish business practices, processes and procedures, maintains adherence and compliance.
• Oversee the financial transactions of ESSIC to auditors.
 
 
Manage Departmental operations and provide administrative leadership Operations:
• Oversee the requisition/procurement of departmental and research supplies and equipment.
• Supervise business office personnel and provide administrative leadership and mentorship.
• Prepare and administer annual PRDs for 5 staff members.
• Improve/innovate procedures and processes.
• Maintains working relationships with various units across campus as well as with external collaborators.
 
Supervise post-award management
• Review contracts and grants status with the Research & Proposal
Coordinator on a monthly basis.
• Projection of financial progress on approximately 95 contracts and grants on
a monthly basis.
• Primary reference pertaining to federal regulations and other campus
corporate services in support of sponsored programs.
• Communicate with PIs for forecasting plans.
• Review payroll arrangements on research accounts and inform Payroll
Coordinator for processing payroll on a monthly basis.
 
Other Financial management
• Oversee all corporate credit cards expenditures
• Oversee review and approve all travel activities
• Oversee inventory management and reporting
• Other duties as assigned

Minimum Qualifications:
Education:
  • Bachelor’s degree.

Experience:
  • 7-9 years of experience in a combination of administrative, financial and managerial work within the University.
  • At least 2 years of staff supervision experience.

Knowledge, Skills and Abilities:
  • Excellent planning and organizational skills.
  • Excellent written and verbal communication skills.
  • Working knowledge of accounting, budget planning and financial forecasting.
  • Working knowledge of grants and contract administration.
  • Solid analytical and problem-solving skills.
  • Attention to detail and accuracy.
  • Ability to multi-task and manage deadlines.

Additional Information:
Salary range is $112,000-$140,000.
