Job Summary

Key Responsibilities: 

Analyst to the Chair:

  • Apply working knowledge of Chair roles, anticipate needs, and prioritize requests.
  • Maintain a complex schedule for Chair and Vice Chairs, scheduling meetings and room reservations.
  • Coordinate communications and information on behalf of Chair with various entities.
  • Manage departmental communications and publicity, draft and edit correspondence.
  • Maintain mailing and contact lists, update email distribution lists.
  • Ensure and maintain departmental websites, such as Collaborative Learning Environment (CLE) and Wiki.
  • Manage, schedule, and coordinate department-level meetings, retreats, and conferences.
  • Prepare meeting minutes for various department meetings and assist with agenda planning.
  • Coordinate faculty searches, serve as a contact for academic recruitments, and assist search committees.
  • Review lists of faculty for separations, renewals, or merits/promotions and submit for processing.
  • Coordinate Annual Appointment Renewal meetings and assist with Annual Revenue Election Forms.
  • Assist Chair/Vice Chairs with Annual Merits and Promotions and support faculty in the development of Moodle courses.

Financial and Resource Data Analysis:

  • Research, interpret, and apply applicable departmental, SON, and UCSF policies and regulations.
  • Gather and analyze resource and other data for departmental planning, prepare reports.
  • Collect data on WOS faculty contributions and analyze productivity data.
  • Develop a database for tracking faculty work activity and analyze data for publications and reports.

Faculty Support:

  • Revise, update, and maintain faculty CVs and Biosketches.
  • Edit scientific manuscripts and provide support for grant and manuscript submissions.

Issue Resolution and Resource Management:

  • Maintain a complex filing system for publications, research papers, and other documents.
  • Serve as a liaison for faculty support issues and special projects, track progress, and ensure resolution.

Standard Operating Procedures and Guidelines:

  • Participate in the development and revision of standard operating procedures and guidelines.
  • Provide expertise and support for website redesign, updates, and edits.
  • Assist in short- and long-term planning for the organization and recommend changes for compliance.

Additional Responsibilities:

  • Provide coverage for Department Staff of the Day activities.
  • Assist with travel arrangements.
  • Act as a backup for the facilities specialist, managing loaner laptops, key inventory, and submitting ITFS and Facilities Management tickets as needed.
  • Perform other duties as assigned by supervisor/Admin Director/Chair.
The hourly compensation range for this role is $29.05 - $53.50. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 1 year of related experience
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of common organization-specific and other computer application programs.
  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Expertise in Microsoft Office, Word, Excel, Powerpoint, Box
  • Knowledge and experience working -in an academic institution or research university.
