Job Duties
The Affirmative Action Compliance Assistant Manager is responsible for carrying out activities related to complying with federal and state laws, policies and guidelines including the university’s affirmative action programs, policies, and procedures. Duties involve efforts specifically designed to diversify the faculty and staff workforce, with emphasis on equity gaps in representation, directly supporting student success including greater educational outcomes and higher levels of complex thinking. The Assistant Manager is responsible for the following job duties and responsibilities:

Compliance:

Complete annual policy and program updates of the affirmative action plan ensuring compliance with federal and state laws, policies and guidelines and in collaboration with Human Resources, the Office of Academic Affairs Personnel Administration and other institutional partners
Work with the Equal Opportunity and Diversity Data Analyst to ensure completion of all required equal opportunity reports and analyses in compliance with federal and state laws, policies and guidelines
Lead and complete packaging and format preparation of all final reports, analyses, and related submission requirements for EEO Plan prior to annual March 1 deadline
Evaluate/Assess effectiveness of outreach and recruitment efforts in compliance with all federal and state laws, policies and guidelines
Manage faculty exit survey dissemination and exit conference process, and prepare trend report of findings
Plan, manage, and coordinate with key partners the logistics for signature programs designed to diversify faculty and staff pipelines
Evaluate and assess the effectiveness of action-oriented programs designed to address underutilization and diversify the faculty and staff workforce by disseminating assessment tool, collecting responses, and reporting summary of results
Determine the nature of appropriate action-oriented programs/activities to address EEO Plan goals and diversify the faculty and staff workforce through identification of areas of focus using a data-informed approach
Develop, research information for, and prepare college, divisional, or unit affirmative action plans, including proposing action-oriented programs/activities to address affirmative action goals and diversify the faculty and staff workforce
Directly and independently engage with key partners to provide guidance and support implementation of action-oriented programs/activities, including follow-up regarding implementation, evaluation of effectiveness of efforts, and tracking efforts/results
Provide assistance with policy, procedure, or program research, including research to identify pipeline data
Manage and lead meetings for the university’s EEO Advisory Committee in compliance with state EEO guidelines including membership, content development and presentation, and direct interaction with membership
Manage the PeopleAdmin applicant tracking system by reviewing and approving EEO compliance documentation and/or system actions to assess EEO procedural compliance in recruitment and selection; initially address issues of EEO procedural non-compliance; and directly interface with faculty, administrator, and other staff search committees and hiring authorities
Coordinate and conduct random desk audits to assess EEO procedural compliance
Increase awareness about areas with EEO Plan goals and/or faculty and staff equity gaps and provide recruitment and outreach strategies directly to search committees for related positions
Provide relevant guidance and consultation to search committees and personnel representatives regarding appropriate recruitment processes and procedures based on unit’s specific situation
Maintain database to document compliance guidance provided, assess and identify patterns of non-compliance; and recommend and implement processes to reduce instances of non-compliance
Provide advice and guidance about appropriate use of codes and statuses in PeopleAdmin applicant tracking system to ensure accurate applicant data

Training and Awareness:

Design, develop and deliver both online and face-to-face EEO recruitment procedure compliance education for search committees and hiring officials in collaboration with Human Resources and other institutional personnel partners to reduce the risk of non-compliance
Design educational materials and deliver presentations to promote the recruitment of a diverse workforce in collaboration with OED staff, as appropriate
Research and develop education and awareness materials
Prepare materials for EEO training and presentations; coordinate dissemination of affirmative action information
Plan, manage, and coordinate logistics for equity/affirmative action briefings; evaluate/assess the effectiveness of the program by disseminating assessment tool, collecting responses, and reporting summary of results
Other:
Develop and maintain collaborative relationships
Other duties as assigned.

Minimum Education/Experience
  • Master’s or advanced degree in education, business, psychology, or a related field and one year of related experience OR Bachelor’s degree in education, business, psychology, or a related field and two years of related experience OR Bachelor’s degree and three years of related experience.
  • Demonstrated understanding of civil rights and EEO laws and the legal underpinnings of affirmative action.
  • Evidence of strong organizational and administrative skills.
  • Evidence of excellent written communication and human relations/interpersonal skills.

Qualifying degrees must be received from appropriately accredited institutions and conferred by the time of hire.
