The Admitting Supervisor must be able to work under stressful conditions with a high degree of accuracy and professionalism. Must be able to work in all department duties comfortably and efficiently. Exhibits excellent communication skills with the ability to define the goals of the department as related to the facility as a whole, and works with the Director and staff to achieve those goals. Reports to the Director of Admitting and assumes all managerial responsibilities in the absence of the director.

The Supervisor is responsible for the supervision and leadership of the Patient Access Representatives. Directly responsible for the interviewing, hiring training, scheduling, and monitoring of staff as well as all aspects of A/R Performance Management. Attend meetings and respond timely to all requests, including completion of encounters referred to the supervisor's desk. Identify performance deficiencies and opportunities and implement action plans as appropriate. Effectively maintain a work environment that promotes communication to stimulate the morale, engagement, and growth of subordinates.

Essential Duties:

  • Responsible for all aspects of the day-to-day supervision of Patient Access Representatives, including but not limited to the Performance Management metrics of collection, productivity, and quality of staff registrations.
  • Reviews department processes and demonstrates initiative in helping to implement changes.
  • Train, develop, motivate, and assist subordinates in reaching new levels of skills, and knowledge attitude. Effectively maintain a work environment that stimulates and motivates morale, engagement, and growth of subordinates. Identify performance deficiencies and opportunities and implement action plans as needed.
  • Manages all operational metrics to ensure the department meets POS goals and DNFB. Enforces department policies, practices, procedures, and work rules by approved hospital policies and assists in the development of new policies according to hospital and enterprise guidelines.
  • Demonstrates effective problem-solving skills.
  • Handles interdepartmental staff conflicts using appropriate conflict resolution skills.
  • Aids in performance appraisals promptly.
  • Review and respond timely to requests, including emails, telephone calls, issues, account research and resolution as needed by staff, management, and piers. Communicate with the Director and Manager as required.
  • Assist in evaluating, counseling, and developing staff performances.
  • Operates as a team player by approaching co-workers and situations in a manner which avoids antagonism and reduces conflict.
  • Essential Duties and Responsibilities include other duties as assigned
  • Keeps track of supply orders, ensuring that all orders stay within the monthly budget. Orders supplies, including medications, in appropriate quantities.
  • Coordinates staffing in order to alleviate overtime and missed meals and breaks.
  • Performs other related duties as assigned or required willingly and with a positive attitude.

Required Qualifications:

  • Req High school or equivalent
  • Req 3 years Experience in a Hospital Admitting Department
  • Req Has in depth knowledge in all the functions of the Admitting Department.
  • Req Must have excellent communication skills, including the ability to speak, read and write English proficiently.
  • Req Demonstrates ability to work independently with minimal direction and supervision.
  • Req Must be comfortable with computers and medical terminology.
  • Req In depth knowledge of all insurance types, including government health programs.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The annual base salary range for this position is $60,320.00 - $94,020.00. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidates work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
