Primary Purpose
The Admissions Coordinator position coordinates College admissions and recruiting services and represents the College by traveling to and participating in recruiting events both on and off campus.
Essential Duties and Responsibilities
Recruitment Operations – Off Campus
  • As directed, coordinate all high school outreach and recruiting initiatives:
    • Visit in-district high schools on a regular schedule promoting the College to students and developing working relationships with high school counseling and future center staff;
    • Assist students through the enrollment process (e.g. account activation, application, scholarships)
    • Participate in area high schools career days, special workshops for student clubs and associations, and related events.
    • Other recruiting events not listed above but in line with the College’s recruitment and marketing plan.
  • Register, coordinate and participate in national, regional, and state college fairs in-district, out-of-district\border state, and out-of-state, as assigned. As directed, visit out of area high schools, both in and out of the state; approximately six to eight weeks per year.
  • Serve as an active member of the Pacific Northwest Association of College Admissions Counselors, a professional association providing networking opportunities for high school and college counselors.
  • Attend appropriate professional association conferences (e.g., OrACRAO, PACRAO), engage in organizational leadership activities and other select events to build partnerships and connections with specific organizations affiliated with COCC academic programs.

Recruitment Operations – On Campus
  • Coordinate on-campus and off-campus recruiting related events including, but not limited to:
    • Preview Day (high school visit day);
    • VIP luncheon for local high school counselors and administrators;
    • Parent focused college information sessions;
    • College planning workshops for high school students;
    • Deliver Getting Started sessions; question and answer sessions;
    • Campus tours (small and large groups), educate about the enrollment process;
    • Coordinate or participate in other campus events as directed.
    • Participate in COCC financial aid activities and events both on and off campus
    • Other recruiting events not listed above but in line with the College’s recruitment and marketing plan.

Communication and Marketing
  • Coordinate data-entry and analysis of student recruits in COCC’s Customer Relationship Management System (CRM).
  • Maintain social media presence for recruitment and retention efforts.

Coordination/Collaboration Activities
  • Coordinate on-campus and off-campus recruiting events and programs with OSU-Cascades, as appropriate.
  • Coordinate and oversee the COCC Student Ambassador program. Includes hiring and training student volunteers to help with phone-a-thons, recruiting events, campus tours, professional development workshops.
  • Serve as a campus lead for COCC’s Bobcat Orientation, a new student orientation program.
  • Participate on the Admissions and Records team to support the College’s mission, vision, values and goals and a shared vision of excellence in student services. Participate in continuous improvement by inviting and providing honest and timely feedback. Adjust workflow and tasks in order to support the overall needs of the team.
  • Assist with planning commencement services, quarterly Bobcat Advising and Registration. Participate in COCC Career and Technical Education events as developed and assigned.
  • Maintain working relationships with other local teen programs (e.g., J Bar J, Oregon Youth Challenge, Boys and Girls Club, Heart of Oregon, etc.)
  • Support the success of students with access challenges by coordinating services and programs in accessible alternative formats where possible and appropriate.
  • Serve on college committees and task forces as assigned.

  • Ability to effectively communicate with respect and support diversity of prospective students, high school counselors, parents and other parties connected to this position.
  • Skills in public speaking, with the ability to present to both small (5 – 10) and large audiences (100+).
  • Ability and skills to competently advise and/or serve students from a variety of background. respecting cultural and socio-economic differences.
  • Must have analytical and organizational skills.
  • Must have customer service and problem-solving skills.
  • Ability to work independently.
  • Have the flexibility to travel for up to two or three weeks at a time, as needed for statewide high school visits, college fairs and other recruiting activities, as well as participate in evening and/or weekend activities.
  • Have reliable transportation and be able to drive in potentially adverse conditions on a regular basis. Must be able to drive a vehicle in rural and metropolitan areas in various weather conditions. Position requires frequent auto travel outside of Bend and between district communities. Scheduled evening and weekend hours are necessary.
  • Ability to represent the college in a professional, well-spoken knowledgeable manner.
  • Ability to move boxes or cases of College materials (up to approximately 50 lbs.) for display and distribution at on- and off-campus locations.
  • Have good general design skills, as needed to set up recruiting booths for high school visits and college fairs.
  • Ability to work cooperatively with and contribute to a diverse workplace through ideas or experience.
  • Ability to effectively utilize common Microsoft applications (Word, PowerPoint, Excel) as well as the ability to learn and effectively utilize a student information system (Banner) and reporting software (e.g., Argos).
  • Ability to maintain confidentiality of student records and adhere to federal student privacy requirements.
  • Ability to maintain a working knowledge of the Family Educational Rights and Privacy Act (FERPA) of 1974, as well as COCC’s student privacy policy, as needed to explain this regulation to staff/faculty, students and parents
  • Must be able to communicate effectively, both orally and in writing, using the English language with or without the use of an interpreter; fluency in Spanish is preferred.
Ergonomic Requirements
Regular office hours are generally Monday through Friday from 8:00 AM to 5:00 PM. Additional hours or schedule changes may be required based on work requirements and nature of the position’s responsibilities. Work is typically performed in an office setting, mostly sitting with frequent computer use. The employee is regularly required use hands and fingers, handle or feel objects, tools or controls, reach with hands and arms and requires near visual acuity to write, read written materials and computer screens, and sufficient hearing and speech ability for ordinary telephonic conversations. Physical movements involve guiding, feeding materials into proper position. Lifting objects vary daily, ranging up to 25lbs. Individual is required to be able to perform the essential functions with or without reasonable accommodation.
Minimum Requirements
Education
  • Associate’s degree.

Experience
  • Two years’ experience working in a higher education, public school setting or an equivalent field, such as social service, community outreach, or related areas.

Other
  • Valid Oregon Driver’s license, and the ability to meet the College requirements to drive campus vehicles; or the ability to obtain within 30-days of employment.
