Purpose

The Part-time Admissions Assistant is responsible for assisting in the successful operations of the Visitor and Volunteer Services Department while delivering exceptional customer service to all museum visitors.  The Admissions Assistant is a key team member and is tasked with checking in visitors to the museum, selling admission tickets and memberships on site, and providing basic museum information to visitors.  Additional duties include compiling deposits and reporting.  This position reports to the Manager of Visitor and Volunteer Services.

Responsibilities

  • Create a highly positive experience for museum visitors that is conducive to repeat visitation, membership conversion, and positive word of mouth for the museum.

  • Check in museum visitors (individuals and groups) and sell daily admission tickets and upsell memberships.

  • Process credit cards and coupons, ring up cash, and issue change.

  • Generate proactive sales efforts.

  • Proactively and warmly welcome visitors, respond to questions, and offer guidance.

  • Resolve general complaints from visitors and members in person, online, or by email.

  • Stay abreast of current and upcoming exhibitions, programs, and marketing campaigns. 

  • Collaborate with other museum departments to promote membership and actively invite and encourage guests to become members.

  • Assist with daily accounting, including compiling deposits for museum’s finance department.

  • Develop and provide admissions and attendance reports.

  • Answer telephone and handle messages for the department.

  • Assist with supervision of work study students or museum volunteers as needed.

  • Help maintain inventory of printed information and marketing materials, and ensure signage is properly placed.

  • Other related functions as assigned.

Required Qualifications

  • High school diploma or GED

  • Must be able to work a Wednesday through Sunday nonstandard work week. Holiday hours may be required. Additional hours may be required during peak periods and museum events.

  • 1 year demonstrated experience with clerical functions to include: ticketing systems, constituent database, cash register or point of sale equipment.

  • Experience in a position that requires a high degree of accuracy; detail oriented.

  • Must enjoy working with public and display strong customer service skills.  Ability to be courteous while confidently enforcing museum policies with all visitors.

  • Promotes a collaborative climate that recognizes, celebrates, and rewards differing view points.

  • Demonstrates cultural sensitivity in communicating with colleagues and visitors of various backgrounds.

  • Skilled in the use of PC or Mac computers and basic office software (MS Word and Excel).

  • Strong, pro-active communication and interpersonal skills (both verbal and written).

  • Works well with interruptions and can multi-task.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Bachelor's degree or higher in Art, Art History or Business.

  • More than the above 1 year demonstrated experience with clerical functions.

  • Experience with Altru database and ticketing system.

  • Customer service experience in a box office, hotel, museum or theater.

  • Art museum or K-12 teaching experience.

  • General interest and knowledge of the arts, Austin, and UT.

Salary Range

$15.00/hour

Working Conditions

  • Requires working with the public.

  • May work around standard office conditions.

  • Repetitive use of a keyboard at a workstation.

  • Must be able to separate ticket stock as needed.

  • Requires remaining in a stationary position for extended periods of time.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
