Facilities Design and Construction (FDC) oversees campus design, construction, and renovation projects; technical support services; and building design standards. FDC staff includes project delivery teams, technical services, and project controls services. FDC’s mission is to provide an unmatched customer experience by developing the design and construction of projects grounded in integrity, knowledge, passion and accountability.

The FDC Leadership Administrative Support Coordinator will report directly to the Associate Vice-President and will help support the Senior Directors in Facilities Design and Construction. General Tasks include assisting the Associate Vice-President and Senior Directors, as well as the Time and Change project delivery team developing and implementing special projects; conducting a variety of administrative duties, as well as budgetary and planning activities. Coordinate and assist in the development of programs to attain the University and departmental goals and objectives. Represent leadership at meetings and on various committees.

The FDC Leadership Administrative Support Coordinator will also provide support to the Office of Design and Construction and the Associate Vice President in duties that contribute to the overall efficiency of the organization. Providing administrative assistance, such as writing and editing memos, emails, preparing communication and implementing special projects on the behalf of the Associate Vice President, Senior Directors and staff within Design and Construction.

Maintain comprehensive and accurate records, perform minor accounting duties, and keeps track of office budgets and financial commitments. Organize meetings, including scheduling, sending reminders, and organizing special presentations and handouts. Answer phone calls in a polite and professional manner and welcoming visitors and assists with orienting new employees and student interns. Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports.

Maintain confidentiality of highly sensitive information. Manage complex office administrative work requiring the use of independent judgement and initiative. Management of the Associate Vice President’s calendar and assisting with coordination of the Senior Directors’ calendars, including making appointments and prioritizing the most sensitive matters.

Prepare or oversee the preparation and distribution of special and periodic reports. Plan and conduct special studies and prepare interpretive reports and recommendations. Coordinate with other departments and admin support staff in WMC, FOD and University at large.

The Administrative Support Coordinator will also assist the Associate Vice President in implementing and organizing the Stakeholder Insights which includes over 24 tactical initiatives that will guide Design and Construction through process improvements, culture, and communication improvements and changes that will transform Design and Construction. The Stakeholder Insights are outcomes from over 200+ interviews conducted during the summer of 2021 and provided insight into how Design and Construction can improve every aspect of service.

Required Qualifications:

  • 0-2 years’ experience in similar roles and in customer service.

  • Bachelor's degree or equivalent experience

  • Excellent time management and ability to meet deadlines, verbal, and written communication skills.

  • Strong organizational skills and ability to multitask, problem solving and decision making and proactivity and self-direction along with interpersonal skills.

Target Salary Range: $22.16- $29.54
