Job Duties:


The primary purpose of this position is to serve as the communication hub for the department. Ther person in this position also maintains technology inventory and office supplies; coordinates event planning, and assists with material management of the office. This individual also serves as a backup and assists other staff members (all staff members are cross-trained for this purpose) and department officers. Task examples include ProCard purchases; addressing basic student, advisor, and faculty queries; distributing alumni communications; and organizing spreadsheets for the unit administrator.
This individual is responsible for receiving incoming information from drop-in traffic, telephone calls, and email. Receives departmental visitors including students, administrators, faculty, staff, alumni, and external visitors. Responsible for addressing queries and directing to appropriate individuals within the unit. Accepts telecommunications into the unit, filters information, and directs to appropriate individuals. Responsible for internal distribution of communications originating within departmental faculty, staff, and students.
This position is also responsible for the design and execution of special departmental events including unit recognition ceremonies in December and May, receptions, retirements, resignations, and special awards. Assists committee chairs and faculty with scheduling of nonrecurring events. Assists with student recruitment by preparing program recruitment packets and promotional merchandise for College and ECU-wide recruitment events such as summer freshmen orientations, Open Houses for Prospective Students and Pirate Aboard events. Prepares and distributes flyers for Writing Foundations events and professional workshops. Collects and distributes course promotion flyers.
Another job duty assigned to this position is department technology and office supply inventory control. Maintains an inventory and manages technology checkout to faculty and graduate students. Provides data for periodic computer refresh cycles. Monitors existing inventories of key office supplies including paper, toner ink, and other consumables. Communicates need for replenishment to Lead Admin. Manages the surplus furniture and technology. Coordinates the office preparation for new faculty, handles office cleaning and repair requests, and office moves. Oversees the annual reorganization and cleanup of all shared spaces in the main department office and the faculty lounge.
Other duties include key office flows and materials management. Manages the computer lab in Bate 2007, reserves rooms upon request (25Live), responsible for organizing and implementing effective movement of mail and parcels to selected destinations, responsible for organizing and implementing effective system of responding to departmental demands for photocopying and scanning, regularly updates and maintains the faculty contact list, the faculty office hour list, and the semester-by-semester course syllabi collection. Fields instructor queries about textbook adoption and ordering.

Organizational Unit Overview:


The Department of English is the largest department in the Thomas Harriot College of Arts and Sciences with over 60 faculty members. Adding to the complexity of the job performed by this position occupant, the department is very diverse, crossing various subdisciplines of English language and literature, writing, film and folklore, and linguistics. The department offers four degrees: a BA in English, a BS in Professional Writing and Information Design, an MA in English, and a PhD in Rhetoric, Writing, and Professional Communication as well as various minors and certificates. Additionally, the English department manages a robust writing program teaching first-year and research-based composition classes to all ECU students.
