Job Summary
The Administrative Officer 2 provides crucial support for various project-specific functions within the STD Control Branch. This role involves direct assistance to the Contracts & Purchasing Unit Chief, editing and modifying contracts and grant documents, analyzing invoices, managing expenditure data tracking, coordinating internal and external program activities, and providing data entry and report generation. The incumbent must ensure the protection of individual confidentiality at all times.
Primary Responsibilities:
- Provide direct support to the Contracts & Purchasing Unit Chief on a wide range of administrative assignments and special projects.
- Edit and modify contracts and grant documents as required, ensuring accuracy and compliance with regulations.
- Analyze invoices and prepare them for processing, ensuring accuracy and adherence to budgetary constraints.
- Independently analyze executed purchase order documents for accuracy and completeness.
- Assist in developing and maintaining expenditure data tracking systems to monitor budget utilization.
- Coordinate and support internal and external program activities, including collecting and preparing information for discussions, taking notes at high-level Section meetings, and disseminating action plans.
- Perform data entry tasks and generate reports as necessary.
- Assist in the development of special project protocol manuals and guidelines.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
