Reporting to the Executive Assistant to the Dean of the Tickle College of Engineering, the Administrative Specialist will serve as a highly visible primary point of contact in the front office of the TCE Administration Suite for faculty, staff, and students that visit or call the college. The Administrative Specialist greets visitors, answers calls, maintains office supply inventory, preparing letters/memos, take meeting minutes, maintain office appearance, directs student workers as needed, and serves as a backup to prepare meeting agendas. For the Assistant Dean of Finance and Administration and the Senior Director of Corporate Partnerships & Economic Development, this role prepares travel arrangements, tracks some budget spending and petty cash reimbursements,  schedules meetings and manage agendas, and coordinates paperwork. This position will also assist with college events such as faculty orientation, commencements, Board of Advisors activities, and the annual TCE banquet and welcome dinner.

 

 



Qualifications

 

Required Education and Experience:

 

• A high school diploma or GED with three years of experience coordinating or managing a large office or an Associate's with one year of experience coordinating or managing a large office.

 

Knowledge, Skills and Abilities:
• Excellent oral communication and writing skills.

• Demonstrated customer service skills.
• Ability to identify and maintain confidential issues.

• Ability to interact with a diverse group of individuals.
• Ability to prioritize and handle simultaneous projects.

• Strong organizational skills.

• Proficiency in use of Microsoft Office (Adept in Outlook, Excel, Word, Teams, and PowerPoint)
• Ability to learn and utilize new technology

 

Preferred Education and Experience:

• Bachelor’s degree in a field related to the position’s duties

• Experience working with a diverse student population.
• Experience in higher education.
