Job Summary/Basic Function
About the Role:
Performs a wide range of administrative support services for LU Pre-Professional Programs in the College of Arts and Sciences. Provides administrative support through problem solving, organization and office management skills. Develops and maintains electronic student databases. Assists with data collection, reports and student advising for online students. Uses advanced Microsoft Word, Excel and Access software skills. Has some latitude in decision-making in carrying out routine phases of work, giving information, maintaining electronic records and files, and creating/preparing routine reports. Works closely with Director of Pre-Professional Programs for related activities. Reports to the Director of Pre-Professional Programs for overall pre-Professional activities and personnel issues.
What You’ll Do – Position Duties

  • Processes and maintains record of Pre-Professional advising appointments, emails to/from students and faculty pertaining to enrollment, advising and information regarding the program. 
  • Provides administrative support to the Pre-Professional Programs office. Assists other administrative staff as needed in the College of Arts and Sciences. Performs receptionist activities for all areas of the Pre-Professional Program, including good customer service; greets visitors and students and ensures phone calls are answered promptly and directed appropriately. Serves as an essential communication link among faculty, students, general public, professional programs and internal university constituents. 
  • Provides support to Pre-Professional Office Staff in implementing all Program activities including word processing, printing and copying course materials. Provides administrative functions for special projects in the College of Arts and Sciences. 
  • Assists Director in admissions and progression activities including preparing and maintaining student electronic files, notifying students of advising campaigns, securely maintaining students’ records and responding to questions about the pre-Professional program from the public and students. 
  • Develops and maintains student databases. Maintains on-line student records. 
  • Provides administrative functions for various committees (Pre-Professional Interview Committee, Pre-Professional Awards Committee) assigned by the Director of Pre-Professional Programs.
  • Assists Director in meeting program goals/standards by gathering data for and processing annual reports and responding to questionnaires associated with student success and the COAS strategic plan. Assists in preparation of pre-Professional Program reports using advanced skills in Microsoft Word, Excel, and Access. 
  • Processes degree plans and recommendation papers for graduating students. 
  • Processes and maintains record of travel request forms, vouchers, and receipts for staff reimbursement.
  • Assists with general Pre-Professional Program duties (for example, deliveries on-campus, mail pick-up, copying papers, answering phones, filing, shredding, course materials. troubleshooting in addressing current and prospective students’ questions/issues, etc.
  • Performs other duties as assigned.

Key Competencies:

  • Demonstrate expert knowledge of office management skills. Knowledge of academic settings
  • Advanced skill in using Microsoft Word, Excel, FileMaker Pro, PowerPoint, e-mail, Banner, and Internet performance.
  • Word process at least 55 words per minute
  • Communicate using excellent verbal skills.
  • Navigate in LU Learn (Blackboard) learning management system.
  • Demonstrated reliability in attendance and punctuality.
  • Skill in using photocopiers, FAX machines, multi-line phone systems and other office machines.
  • Ability to understand and follow moderately complex oral and written instructions.
  • Ability to effectively and tactfully interact with students, prospective students and the general public.
  • Ability to deal with several events at once, while effectively completing assigned work in a timely manner.
  • Ability to work cooperatively with fellow employees and supervisors.
  • Ability to work in fast paced situations.
  • Adhere to university and College of Arts and Sciences policies.

Physical Requirements:
Able to lift 25 lbs and be able to perform a variety of physical tasks including lifting, bending, stooping, squatting, stair climbing and walking between buildings.

Minimum Qualifications
  • Associate degree or two years of college coursework related to job functions, or combination of education and experience in related field (2 years of experience = 1 year of formal education).
  • One year of secretarial or office experience required
