The Center for Clinical Learning is a collaboration of live client clinics within the College of Law, whose function is to facilitate and oversee student experience in the areas of experiential learning, client representation and law practice management. The Center is a law firm within the College of Law through which students provide legal assistance under the direct supervision of law school faculty. The Center for Clinical Learning is a high volume, high demand area with three Clinics that support student learning and provide free legal representation to qualifying members of the public.  The Administrative Specialist, Administrative is responsible for various tasks related to program management and works closely with the Center’s Administrative Manager, Administrative Specialist, faculty and students.

This position supports six full time attorneys, two full-time staff attorneys, and 45-50 student attorneys per semester (including some students over the summer) in serving over 300 clients per year in a fast-paced law firm environment. 

Responsibilities include:

General administrative functions include, but are not limited to:

  • First line of customer service for clinic, answering and directing calls for three clinics, greeting visitors, and arranging meeting space.
  • Monitor clinics emails and route to appropriate faculty, students, or staff.
  • Organizing and managing a variety of assignments with strong attention to detail.
  • Assist with clinic mailing, maintains files both hard copy and electronic, monitor and route electronic mail as needed.
  • Responsible for opening and closing of office suite as well as maintaining common areas.
  • Providing administrative support for six full-time faculty members and two full-time staff attorneys, including processing travel, reconcile travel expense reports, and general clerical task.
  • Monitor supply inventory and initiate supply orders using PantherMart.
  • Communicating with students and college front desk throughout each semester to schedule meetings.
  • Collaborates with the Clinic Administrative Manager on a variety of tasks, including but not limited to, travel, invoice processing, disbursement request, form generation, statistical data, design and production of marketing material.
  • Training students on the use of electronic filing systems, and communication software.
  • Managing a variety of sensitive and confidential documents.
  • Serving as liaison with IT for clinic workspace to ensure that all equipment is operating properly at all times;
  • Communicating with students, clients, opposing counsel, and others in a professional fashion.

Qualifications

: 

Minimum Hiring Qualifications:

Bachelor’s degree and two years administrative experience; or high school diploma or GED and six years administrative experience; or a combination of education and related experience.

Preferred Hiring Qualifications: 

  • Experience in a law firm or similar environment requiring support for multiple assigners.
  • Experience as a legal secretary, legal assistant or paralegal is preferred.
  • Proficient in Microsoft Office, with emphasis on Word, Excel, Teams, and Outlook. 
  • Considerable knowledge of office management practices, policies, and project coordination.
  • Ability to prioritize work assignments, troubleshoot complications and work under general supervision.
  • Strong attention to detail.
  • Effective organizational and time management skills.
  • Ability to communicate effectively both verbally and in writing using good customer service skills.
  • Bilingual in Spanish a plus.
  • Notary Public a plus.
