The Center for Clinical Learning is a collaboration of live client clinics within the College of Law, whose function is to facilitate and oversee student experience in the areas of experiential learning, client representation and law practice management. The Center is a law firm within the College of Law through which students provide legal assistance under the direct supervision of law school faculty. The Center for Clinical Learning is a high volume, high demand area with three Clinics that support student learning and provide free legal representation to qualifying members of the public.

The Administrative Specialist, Administrative is responsible for various tasks related to program management and works closely with the Center’s Administrative Manager, Administrative Coordinator, faculty and students.

This position supports eight full time attorneys and 45-50 student attorneys per semester (including some students over the summer) in serving over 300 clients per year in a fast-paced law firm environment.

General administrative functions include, but are not limited to:

  • Providing administrative support for five full-time faculty members and three full-time staff attorneys, including preparing manuals, and processing travel.
  • Organizing and managing a variety of assignments with high attention to detail.
  • Communicating with students throughout each semester to schedule meetings, disseminate information, and alerts to changing procedures.
  • Maintaining and updating standard operating procedures for law firm operations manuals for separate practice areas.
  • Training students on use of electronic filing system, form generation, and communication software.
  • Administering Center admissions policies and procedures as well as assisting in training students on these.
  • Managing a variety of sensitive and confidential documents.
  • Serving as liaison with IT for clinic workspace to ensure that all equipment is operating properly at all times.
  • Communicating with students, clients, opposing counsel, and others in a professional fashion.
  • Event/Project Coordination.
  • Managing student application and the onboarding processes for the Center for Clinical Learning, including communicating with prospective students, verifying minimum requirements are met, generating reports for faculty, contacting students for status, gathering needed information, point of contact for internal and external authorizing agencies, and creating materials for recruitment and promotional purposes.
  • Assisting in planning and delivery of Center new student orientation program, including securing space, preparing materials, and room set up.
  • Assisting in coordinating a wide range of information sessions for students associated with the Center.
  • Assisting with other events and conferences as scheduled, to include events related to the Clinical Center and other faculty directed events related to their scholarship, teaching and service.

Qualifications

: 

Minimum Hiring Qualifications:

Bachelor's degree and two years of related experience; or high school diploma or GED and six years of related experience; or a combination of education and related experience.

Preferred Hiring Qualifications: 

Proficient in Microsoft Office, with emphasis on Word and Excel.
Working knowledge of Publisher or other design software a plus.
Considerable knowledge of office management practices, policies, and event/project coordination.
Ability to prioritize work assignments, troubleshoot complications and work under general supervision.
Strong attention to detail.
Effective organizational and time management skills.
Ability to communicate effectively both verbally and in writing using good customer service skills.
Experience in a law firm or similar environment requiring support for multiple assigners.
Bilingual in Spanish a plus.
Notary Public a plus.
